Our Community Transport service provides low cost, safe, clean and fully accessible vehicles for individuals, voluntary, community and not for profit organisations. We continually strive to provide new and innovative solutions to the mobility barriers that people face. This role is responsible for co-ordinating the administration systems and processes relating to community transport services.
Main duties
The Community Transport Service Facilitator will report to the Assistant Manager: Community Services on a day-to-day basis and the list below outlines the main duties:
Facilitate the day to day service delivery of the community transport service, including the dynamic allocation of work to vehicles / routes. Proactively communicate with customers, interested stakeholders including the wider Communities 1st team providing status updates and maintaining contact with drivers throughout the day.
Complete the debrief process and report any necessary actions or updates as required. Serve as the face-to-face contact with our drivers on a daily basis, supporting drivers to act on issues identified on the rounds
Provide a quality service for individuals who have mobility difficulties and cannot use public transport, working closely with the Drivers as required. Dealing extensively with disabled and older people and must demonstrate their ability to deal sensitively with their needs.
Support the deployment, maintenance, repair, cleanliness, and roadworthiness of passenger vehicles Ensure compliance with Section 19 and 22 Minibus Permit regulations, particularly in relation to maintenance requirements and driver compliance with regards to daily vehicle checks and defect reporting
Liaise with contract, group transport and individual clients to meet customer requirements for punctuality, reliability and quality of service Ensure that regular checks are made on drivers’ licences and that these are formally recorded, in line with Charity policies and procedures
Work with other support staff to ensure effective administrative arrangements for invoicing, credit control, petty cash and fuel purchase Work closely with the Assistant Manager: Making a Difference Services in the compliance of all vehicle standards and regulations
Work closely with colleagues to ensure effective execution of internal booking system, to enable Travel Link services operate at maximum & optimum capacity Operate the vehicle scheduling and maintenance software to its full potential
Ensure all records of users, user groups, drivers etc. are fully up to date at all times. Provide information and answer queries relating to the Travel Link services.
Ensure that user requests for information about services and membership is dealt with promptly Create all new regular or on-going transport bookings onto the system
Monitor timetables and keep the Management Team informed if regular difficulties arise as well as recommending amendments where appropriate. Liaise with third parties such as schools, day centres and other organisations to ensure that up-to-date information is provided and sought from them regarding transport needs and changes.
Liaise with other members of staff and the needs of the service to take part in organising driver induction programmes When required, organise and book drivers for MiDAS
Coordinate repair for defective equipment Check/action/submit vehicle collisions/incidents forms
Respond to ‘out of the ordinary’ requests for transport and to ensure that complex transport requests are adequately researched and responded to appropriately Complete duties in accordance with procedures and training and adhere to Communities 1st’s Equality and Diversity Policy.
Assist the Team in promoting Communities 1st’s services to the community.
