Customer Service Assistant
Job Description
The City of Birmingham Symphony Orchestra is seeking a Customer Service Assistant to join the team. This role includes welcoming musicians, visitors and staff to the CBSO Centre, answering phones and redirecting calls, providing excellent customer service, overseeing the meeting room diary, and supporting the wider organisation with administrative tasks.
This is a varied and hands-on role, ideal for someone who loves to work with people and prides themselves on being organised and proactive. Some experience of a previous reception, customer service or administrative role would be beneficial.
Please note, this role is office-based at the CBSO Centre in Birmingham and is not eligible for hybrid working.
KEY RESPONSIBILITIES
CUSTOMER SERVICE
- Provide a warm and professional welcome to all musicians, staff, visitors and customers who arrive at the CBSO Centre, ensuring signing-in and out procedures are followed.
- Manage the CBSO’s switchboard and inboxes, answering incoming calls and emails promptly, dealing with queries, directing enquiries to appropriate staff and monitoring voicemails.
- Be familiar with the orchestra’s schedule and details of upcoming concerts and events, acting as the first point of contact for members of the public who have general enquiries about the CBSO.
- Keep the foyer and reception areas tidy and organised, including keeping the display of leaflets and print up to date.
ADMIN
- Be responsible for incoming and outgoing mail, including recording and franking the daily post and receiving mail for resident companies.
- Support with meeting and rehearsal room bookings, communicating any set-up requirements to the Centre Team.
- Undertake general administrative tasks associated with the receptionist role, including creating employee access cards, monitoring the digital screen and assisting with stock control.
- Assist the Audiences, Development and Centre Teams with monitoring inboxes, answering customer queries, updating records and other administrative tasks as required.
- Any other tasks deemed necessary by the Director of Audiences.
