About the Charity

Somewhere Else is a small but growing organisation which aims to improve the mental health and wellbeing of refugees and asylum seekers. We provide individual therapeutic support and creative group sessions for individuals and in group format.

Role Purpose

The Executive Coordinator provides high-level organisational support to the Trustees, ensuring robust governance and legal administration for the charity and efficient and effective, transparent and sensitive leadership for its operations. The role requires strong organisational skills, attention to detail, and the ability to work independently in support of the charity’s mission.

Key Responsibilities

Governance & Compliance

  • Support the Board of Trustees with
    • Scheduling meetings, preparing agendas and supporting documentation, recording accurate minutes, and ensuring matters arising and action points are addressed.
    • Ensuring regulatory requirements are met (Charity Commission, GDPR, confidentiality, health & safety, safeguarding).
    • Developing risk management processes across the organisation.
    • Developing a policy framework and maintaining up-to-date policies and procedures in line with financial and employment law/regulation and best practice.
    • Enabling the Recruitment Process for new Trustees and other posts as agreed by Trustees.

Operations & Administration

  • Provide support/trouble shooting as needed for the charity’s referral system.
  • Oversee the development and maintenance of the charity’s website, in cooperation with the Trustees and the Clinical Director.
  • Support the Trustees and Clinical Director with activities related to the reconstruction and extension of premises if approved (ie. ‘Project 37’).

Finance, Grants & HR

  • Provide support to the responsible Trustees and the Clinical Director, as appropriate, in the areas of
    • Financial management, including budget monitoring, payroll coordination, and working with financial consultants and the independent examiner.
    • Development of funding applications with accurate costings and operational input.
    • Administration of grants, including monitoring expenditure against budgets, maintaining accurate records, and ensuring compliance with funder requirements.
    • Preparation of timely financial and narrative reports for donors, funders, and partners.
    • Establishment of procedures for personal donations, including Gift Aid arrangements.

Leadership & Team Support

  • Support the responsible Trustees to respond to issues, concerns and/or complaints from beneficiaries, volunteers, consultants, affiliated and trainee therapists, and/or staff.

Person Specification

Essential

  • Strong organisational and project management skills.
  • Experience in operations, administration, or charity management.
  • Some knowledge of:
    • Governance and compliance within a charity or similar organisation.
    • Grant management and donor reporting.
    • HR and financial administration.
  • Excellent communication skills, with the ability to work sensitively across cultures.
  • Commitment to the values of mental health support, refugee rights, and social justice.
  • Experience of work with vulnerable people.

Desirable

  • Experience working in the refugee and asylum, or mental health sectors.
  • Experience supporting senior leader and/or leadership team.
  • Ability to work sensitively across cultures and hierarchies.
