We’re looking for an organised, customer-focused and proactive Events Coordinator to join the Events team at St Antony’s College. This is a full-time role (35 hours per week), with a salary of £30,378 to 35,608 gross per year plus an annual Oxford weighting allowance of £1,730.
Reporting to the Head of Operations, you will play a key role in coordinating the College’s internal seminars, conferences and teaching events, as well as managing external bookings. You will be the first point of contact for event enquiries and will ensure that all bookings are handled professionally, efficiently and in a timely manner.
About the role
St Antony’s College is home to seven regional study centres and hosts an average of 15–20 seminars and similar events per week during term time. The Events Coordinator supports this busy academic environment by organising accommodation and rooms for seminars, conferences and teaching, ensuring a consistently high standard of service.
Working as part of a small team, you will balance the College’s academic priorities with the management of external events, taking into account commercial considerations while supporting student life and academic activity.
Your work will include:
- Managing room and accommodation bookings for internal and external events
- Acting as the key point of contact for general event enquiries
- Providing accurate and timely quotes for hospitality and room hire
- Communicating last-minute changes, cancellations or new bookings with relevant teams promptly
- Preparing contracts and issuing invoices, including correct VAT treatment
- Greeting external organisers and providing key event information
- Maintaining accurate booking system records and conference information
- Supporting selected events in person, including occasional evenings and weekends
- Producing weekly operational reports
- Reviewing and improving administrative processes to ensure efficiency and professionalism
- Maintaining accurate record keeping, filing and archiving
What we’re looking for
Essential
- At least one year’s experience in events management (hospitality or education sector)
- Excellent IT skills, particularly MS Office, and willingness to learn new systems
- Proven ability to deliver excellent customer service
- Clear written and verbal communication skills
- Strong attention to detail
- Ability to work independently and use initiative
- A calm and effective approach under pressure
- Excellent organisational skills with the ability to prioritise effectively
- A reliable, hands-on team player who takes ownership and supports colleagues
- Flexibility to work occasional weekends, early starts or late finishes
Desirable
- An understanding of, or sympathy with, the values and ethos of a small collegiate institution
