This role is ideal for someone who is driven by delivering work to a high standard, enjoys managing processes and logistics, and takes pride in ensuring that important administrative tasks are handled with care, consistency and accuracy. Working closely with the Philanthropy Manager and Development Director, you will focus on the coordination, administration and research that underpin successful relationship fundraising. You will play a vital role in preparing communications, managing donor data, researching prospects and supporting the delivery of high-quality events. About Music Masters Music Masters’ driving aim is to address at their root the most significant issues that could prevent a child from achieving to their greatest creative potential. We work tirelessly to improve equitable access to music education, quality and inclusivity in music teaching and learning, and pathways of opportunity in and through music to career level. Key to this is showcasing excellence in inclusive music teaching through our five partner ‘Flagship Schools’ in London in which we teach 1,000 children with highly diverse backgrounds and needs, each for up to seven years. The ever-changing environment in which we work informs and inspires our drive to address systemic barriers to music education and progression on a national scale. We do this through working intensively with schools, teachers and organisations – and with the next generation of musicians, teachers and advocates, including our own graduate pupils. As an example of our wider influence, through our year-long postgraduate-level teacher training programme Musicians of Change (PGCEi) launched in 2019, over 30,000 children and young people from Aberdeen to Penzance now feel the benefit of superior music teaching with inclusion at its heart. Our commitment to providing access to progression pathways with and through music for children from backgrounds underrepresented in classical music remains a core principle throughout our work, and I’M IN (Inclusive Music INdex), our organisational self- assessment tool, has so far enabled us to support and challenge 150 organisations working in and with music to build a more inclusive approach that welcomes, nurtures and values talented, diverse young musicians. As we enter the final year of our 2022–26 strategy, we are consolidating our learning and shaping the next phase of our organisational growth. Our trustees are ambassadors for our charity, and play a crucial role in supporting its executive team on significant governance, strategic and financial matters. In autumn 2024, Stuart Mason – father to the remarkable Kanneh-Mason family and Senior Vice President at Belmond – became Music Masters’ Chair of Trustees. Our work is also guided by an expert Advisory Panel, a Development Committee, a Finance & General Purposes Committee and programme-specific advisory groups. About the Role The Philanthropy Officer plays a key supporting role in the delivery of Music Masters’ major donor and legacy fundraising. Working as part of the Development Team, you will provide the operational backbone that enables effective cultivation, stewardship and engagement with our supporters. You will support the Philanthropy Manager by coordinating donor administration, maintaining accurate records, researching prospective supporters and preparing high-quality communications and briefing materials. Your work will help ensure that donor relationships are managed thoughtfully, opportunities are followed up promptly and supporter experiences are consistently excellent. You will also play an important role in the planning and delivery of major donor events, providing logistical and administrative support to ensure these moments run smoothly and reflect the quality and care at the heart of Music Masters’ work. From managing invitations and guest information to preparing materials and supporting follow-up, your attention to detail will directly contribute to successful engagement. This is a varied and rewarding role for someone who enjoys working with structure and process, takes ownership of detailed tasks and understands the importance of accuracy, timeliness and professionalism in fundraising. Below provides an idea of the main areas undertaken by the post-holder: Key Responsibilities Donor administration and data management • Maintain accurate and up-to-date donor records on the CRM, ensuring all interactions, donations and correspondence are logged correctly and consistently. • Record and process donation and pledge data in collaboration with Finance, supporting accurate reconciliation, reporting and Gift Aid claims where appropriate. • Support the preparation of donor lists, mailings and segmented data selections to enable effective and targeted communications across major donor and legacy audiences. • Ensure donor and legacy records and processes comply with GDPR, data protection and fundraising regulations. • Respond promptly and professionally to supporter and legacy enquiries, escalating sensitive or complex matters where needed. Event logistics and coordination • Provide logistical and administrative support for major donor cultivation and stewardship events, including concerts, receptions and fundraising events. • Manage event administration such as invitations, guest lists, RSVP tracking, seating plans and briefing materials. • Coordinate suppliers, venues and internal colleagues as required to support event delivery. • Support on-the-day event delivery, including registration, materials preparation and follow-up actions. Prospect research • Research prospective donors using publicly available sources, preparing clear and concise background notes and profiles to support cultivation activity. • Maintain prospect research records, ratings and notes within the CRM to support pipeline visibility and planning. • Support the preparation of briefing packs for donor meetings, events and senior stakeholder engagement. Communications and supporter care • Draft donor communications including emails, letters, invitations, thank-you messages and event follow-up. • Support the preparation of donor reports, proposals and stewardship materials, ensuring accuracy, warmth and consistency. • Assist with the coordination of legacy communications and stewardship activity, ensuring supporters receive timely and appropriate information. • Ensure a high standard of supporter care across all touchpoints, reflecting Music Masters’ values and commitment to excellence. It is desirable that you also have knowledge of and familiarity with: • Familiarity with the arts, education or social impact sectors. • Familiarity with major donor fundraising or philanthropy. • Awareness of Gift Aid and charitable giving in the UK.
