About Manor Lodge

Founded in 1991, Manor Lodge is a vibrant and successfulindependent day school for over 450 boys and girls aged 3 -11. The school is in Shenley, Hertfordshire; the 22 acre siteencompasses a Grade 2 listed building set in open countrysidenestling within fields, woodland and wildlife, yet only 1 milefrom junction 22 of the M25. In 2018 after many years asDeputy Head, Alyson Lobo took over the mantle of HeadTeacher with a clear vision for the school. There are twocurriculums, each of equal importance. The academiccurriculum is based on the traditional values of excellentteaching and learning, measured in academic success. Academic Excellence

The ISI Report 2023 stated that the quality of pupils’ academic and other achievementsis excellent. Pupils of all abilities achieve high standards across the curriculum and makeexcellent progress from their different starting points. By the end of Year 6, the largemajority of pupils are achieving, on average, two years ahead of their chronological agein both mathematics and English. In reading, gains made throughout their journeymeans that the average Year 6 child has an average reading age of 6 years above theirchronological age on leaving Manor Lodge. The inspectors noted that, ‘Pupils lovelearning; they have highly positive attitudes fostered by a rich and challenging indoorand outdoor curriculum and a wide range of enrichment opportunities.’ Our childrenare extremely successful in gaining entrance to highly competitive senior independentand state schools, with a large proportion being awarded scholarships. ESSENTIAL

Personal Attributes

Ability to manage and direct staff, arrange rotas, and lead the

Lettings function.

Full UK Driving Licence.

Ability to develop relationships with key clients, manage

expectations and deliver high standards of customer care.

Strong character but approachable and able to be an ambassador

for the school and to liaise with outside organisations to develop

greater use of the facilities.

Tact and diplomacy yet firmness to deal with difficult customers

in an appropriate yet understanding manner.

Good telephone manner.

Skills and Knowledge

Knowledge of the fundamental principles of Health and Safety.

Good written and verbal communication skills

The successful candidate will have the followingqualifications, experience and skills:The Candidate

Good administrative and organizational skills for bookings, registers,

and general record keeping.

Willingness to undertake further training especially in health and

safety.

Knowledge of computerised systems and Microsoft Office.

Qualifications and Experience

Practical experience in property management, strong communication

and interpersonal skills, and relevant qualifications.

DESIRABLE

Experience of working in a Leisure or School environment.

A qualification in Sport or in working with young people.

Health and Safety qualifications.

First Aid qualification (or willingness to learn).

An enhanced DBS check will be required for this post.

This job description allocates duties and responsibilities but does not

The Role

Job role:

Lettings Supervisor

Reporting to:

Estate Manager and Bursar

Main Duties and Responsibilities:

Working with the Estates Manager and the Bursar, the Lettings supervisor will manage

and develop the schools out of hours lettings of sports and school facilities including

the sports hall, outdoor pitches, staff work space and other lettings areas.

The post holder will be required to work evenings and weekends during term time

and during the school holidays. The shift pattern will be determined upon agreement

with the successful candidate and therefore overall salary calculated pro rata

accordingly.

Main Duties

To manage the school's Lettings Programme using the lettings email address,

receiving enquiries and responding as appropriate in a timely fashion.

To market the facilities and maximise lettings income.

Together with marketing team, ensure the schools website is kept up to date

with regards to lettings.

To attend onsite during letting periods and ensure adequate staffing in place.

To liaise with hirers and ensure customer satisfaction and elicit feedback on the

customer experience.

To deal with problems and issues arising from Lettings.

To be a key holder responsible for opening and locking and alarming the

Premises.

To develop and manage the bookings system and ensure registers of users are

maintained to enable accurate billing and user data.

To be responsible for Health and Safety throughout the school during letting

hours (evenings and weekends).

To undertake checks of the facilities and to record/report and prevent damage.

To liaise with the Estates Manager and contractors especially around repairs and

redecorations, planned works, cleaning, etc.

To have a continuous improvement approach to all processing, making

suggestions for improvements/refinements to the current working processes as

appropriate.

To carry out duties during letting periods such as cleaning, light DIY and other

ad hoc jobs.

Other duties appropriate to the grade and role as directed by the Bursar and

/or the school's Senior Leadership Team.

Undertake general porterage duties related to lettings or school events,

including moving sports equipment within the school ensuring the effective set

up and take down of lettings equipment

Perform duties in line with health and safety regulations (COSHH) and

act where hazards are identified, reporting serious hazards to the

Estates Manager immediately.

Undertake regularly health and safety checks of buildings, grounds,

fixtures and fittings (including compliance with fire safety regulations)

and equipment, in line with other schedules.

Adhere to the school, local and national authorities’ guidelines and

exercise professional discretion at all times.

Be aware of, and comply with, policies and procedure relating to child

protection, health, safety and security, confidentiality and GDPR

regulations, reporting all concerns immediately to an appropriate person.

Participate in training and other learning activities and performance

development as required.

Contribute to the overall ethos/work/aims of the school.

Attend relevant meetings as required.

To maintain confidentiality.

To undertake First Aid and Fire Warden training and act in those

capacities upon qualification

The role of Lettings Supervisor requires periods of physical effort such

as lifting, bending and stretching as well as using tools an equipment.

The list is not exclusive or exhaustive and the post holder will be required to

undertake such tasks as may be reasonably expected within the scope of the
