About Bournemouth Gateway Club
Bournemouth Gateway Club is a friendly and inclusive community organisation supporting adults with learning disabilities through social, leisure, and wellbeing activities. As our services continue to grow, so too has the need for reliable administrative support to help us run efficiently and meet our compliance obligations.
We are now seeking a part-time Administrative Assistant to join our small, dedicated team and help keep everything running smoothly behind the scenes.
About the Role
This role provides essential administrative support to the Centre Manager, trustees, and volunteers. The successful candidate will help manage financial records, compliance schedules, membership data, and meeting documentation, ensuring our systems are accurate and up to date.
You’ll play a key part in freeing up management time so the team can focus on delivering high-quality services to our members.
Key Responsibilities
- Financial Administration
- Manage petty cash, upload receipts, and reconcile accounts via Xero.
- Upload invoices and receipts to Xero to match bank transactions.
- Prepare and issue monthly member invoices and maintain payment records.
- Membership and Records Management
- Record member attendance and update spreadsheets.
- Support new member administration, including checking forms, maintaining records, and updating the fire register.
- Assist with newsletters, flyers, and other communications.
- Staff and Volunteer Administration
- Monitor DBS renewals, training, holidays, and absence records.
- Ensure staff risk assessments are current and recorded.
- Compliance and Premises Support
- Track statutory inspections (fire safety, health & safety, legionella, asbestos) and ensure timely completion.
- Maintain contractor insurance and compliance documentation.
- Liaise with tenants regarding bookings and general enquiries.
- Governance and Meetings
- Prepare and distribute agendas, papers, and minutes for trustee and staff meetings.
- Record actions and support follow-up on key decisions.
About You
We’re looking for someone who is:
- Organised, methodical, and detail-oriented.
- Confident using Microsoft Office and basic financial software (experience with Xero is an advantage).
- Able to work independently and manage a varied workload.
- A good communicator with a friendly, professional manner.
- Committed to the values of inclusion and community support.
- Experience in an administrative or bookkeeping role would be beneficial, but full training will be provided for the right candidate.
What We Offer
£12.80 per hour (aligned with our Support Worker rate)
Flexible, part-time hours (approx. 4 hours per week) Can work hours between 9 – 4 on Wednesday, Thursday or Friday to suit)
