Salary: £26,305.00 FTE, pro rata for 2 days £10,522.20

Hours: 15 hours per week, Monday and Tuesday

Job Summary

The post holder will provide full administration and database support to the Clinical Services Department and the Inpatient Unit.

Key Areas of Responsibility:

  • Use and navigate software systems such as EMIS and any other clinical systems as required; this will involve adding new users, entering patient information and making alterations and liaising with IT regarding any technical problems.
  • Identify and initiate new systems of work to improve and enhance service delivery to share with the senior management team.
  • Accurately input, update and retrieve data in a timely manner ensuring information is held in a secure and confidential manner in line with data protection guidelines
  • To undertake patient referrals to the service sensitively and empathetically, being able to communicate with a wide range of people some of whom may be in distress
  • To provide telephone support for the team, dealing with straightforward and complex enquiries from a range of sources, including the Clinical teams, patients, carers as well as GP and other healthcare professionals. Ensure messages are communicated accurately and dealt with in an appropriate and timely manner.
  • Undertaking audit work as required and providing information to Senior Managers when requested.
  • Producing reports as required, e.g. Hospice at Home, Board reports and reports for Grants/Fundraising/Family Support Team/Education.
  • Provide cover for other administrative support staff in times of sickness/annual leave or additional workloads.
  • Undertake general administrative tasks for the team, including word processing, scanning and photocopying.

Person Specification

Qualifications, Experience and Skills

Essential:

  • Educated to GCSE (or equivalent) standard in English and Maths
  • Excellent IT skills with experience in using all Microsoft Office packages
  • Methodical approach and good organisational skills
  • Knowledge and experience of using EMIS
  • Previous clinical administration experience in GP surgery or similar
  • Able to work under pressure and to tight deadlines
  • To be flexible and reliable
  • Adaptable and a willingness to learn new skills
  • Excellent administration experience in a similar type role
  • Excellent communication particularly on the telephone.
