Overview
As Quality and Operations Manager you will work as a key member of the Synergy Lead Accountable Body team, under the leadership of the Head of Strategic Partnerships and Alliances for Sheffield, to support the effective and efficient delivery of Rethink’s duties as Lead Accountable Body for Synergy Mental Health Alliance. Your remit will involve the development, mobilisation and operationalising of new services and activity, alongside supporting operational and day to day running of existing Synergy work, including areas such as (but not restricted to):
• Establishing recording and reporting systems
• Developing and implementing quality frameworks
• Setting up systems and processes to manage compliance
• Overseeing end to end processes for grants fund distribution
Working alongside the Head of Strategic Partnerships and Alliances for Sheffield, you will maintain and develop purposeful and managed partner relationships across all existing Alliance members and nurture growth and inclusion of other VCSE organisations across Sheffield. You will work alongside experts by experience and will foster an environment where they are involved as equal partners in any associated workstreams within Synergy. What I do and achieve
I provide the day to day management of Synergy operational contractual delivery to ensure that Rethink effectively discharges its duties as Lead Accountable Body for Synergy, including activities related to compliance, quality assurance, reporting and associated systems and processes.
• I lead and provide project management support, to ensure the effective and timely mobilisation of workstreams & projects, and the efficient and effective delivery of new and existing services.
• I develop wrap around systems and processes to ensure that high quality assurance contractual governance, compliance and performance measures are maintained and are aligned with central Rethink support services eg. Quality, integrated governance etc.
• I compliment Rethinks Internal Audit function and ensure that Synergy maintains quality assurance processes in order to ensure compliance.
• I ensure actions emerging from service audits, Workstream RAG reports and LAB/Synergy meetings are followed up and actioned in a timely manner.
• I manage, collate and interpret a range of Synergy partner data metrics [including Monthly/Quarterly reporting], consolidating this into purposeful business intelligence reports.
• I interpret data patterns [emerging patterns and trends] and bring timely intelligence reports to the attention of the Head of Strategic Partnerships and Alliances and Synergy Board.
• I support the development and presentation of reports and documentation relating to service quality and performance.
• I carry out specific tasks/investigations, including those related to complaints, Serious Untoward Incidents, health and safety, including writing management reports and presenting findings.
• I act as the partners first point of “data” contact to troubleshoot and promote positive partnership engagement and understanding, to ensure consistent and reliable data metric reporting and outcome reporting.
• I contribute to the development of client outcome and experience measures to effectively assess the quality and added value delivered as part of the Synergy service offer, presenting this information in a consistent and accessible format.
• I support and help analyse a range of information sources, including audits, reviews or complaints and work with colleagues to develop and implement monitoring for improving quality.
• I work with colleagues in our Evidence & Impact team to exchange information regarding Quality, Performance and Outcomes to inform service delivery and provide external partners with information.
• I maintain and achieve all Internal Audit Standards as LAB and undertake due diligence to ensure Partner and subcontracting arrangements remain compliant and adhere to appropriate policies and procedures.
• I plan and monitor my workload to ensure that ongoing tasks are completed, development work is delivered and capacity is available to support service performance responsively.
• I deputise for the Head of Strategic Partnerships and Alliances at internal and external meetings as required.
• I ensure that meaningful and sustainable co-production and involvement (with staff and service users) is embedded within my work.
• I will be aware of and support the take up of opportunities for funding and commercial development to maximise Synergy impact on the lives of people with severe mental illness.
• I build new relationships with and between a host of partner organisations.
• I work in an integrated way with all partner organisations, to deliver an effective project resulting in provision that is in line with Synergy’s strategic priorities.
• I report on all activities to the Head of Strategic Partnerships and Alliances, making suggestions for improvements.
• I travel across location to settings as required and work flexibly if that’s what the programme requires.
• I ensure I share my learning and experiences with colleagues across the charity to influence our ways of working.
• I establish and maintain links with other services/projects to ensure awareness and knowledge, promoting partnership working.
• I ensure the voice of lived experience is embedded within all service developments, workstreams and operational processes.
• Keep abreast of policy and research developments that impact on these areas of work.
• I work collaboratively with external organisations, internal colleagues and with people who use our services to identify best practice and contribute to design of service improvement activity.
Who I am
Based in or near Sheffield– home based with some travel.
• Knowledge and understanding of the VCSE sector.
• Knowledge of Sheffield mental health systems.
• Experience in project management and mobilisation.
• Understanding and experience of working with people who use mental health services and delivering strong coproduced comms work.
• Experience in managing and maintaining strong working partner relationships in a VCSE environment.
• An eye for detail and an ability to interpret and present business intelligence/data at a high level, in a wide variety of reporting formats
• Ability to understand and advocate.
• Strong systems and process-based approach to drive quality assurance and performance measures.
• Strong background in contract management and compliance
• Ability to set and deliver against a wide set of Key Performance Indicators and Project objectives, consistently, on target and on time.
• Able to collaborate effectively with ICT/Digital/Data professionals from multiple organisations to achieve common reporting outcome and goals.
• Ability to understand and advocate.
• A confident communicator with excellent verbal and written skills.
