Corpus Christi College Cambridge Job Description Job Title: Type of Contract: Department: Responsible to: Purpose of Job: Tutorial Administrator Part-time (2 days a week, onsite), 1 year Fixed-Term Contract Tutorial Head of Tutorial and Student Support To contribute to the overall work of the Tutorial Office by providing support, as part of a team of Tutorial Administrators, to the College Tutors, including the Senior and Deputy Senior Tutors, on a range of administrative-related tasks and to act as a key contact point for student queries as they transition to the College/University, progress through their studies, and complete their degree. Duties and Responsibilities: The following duties and responsibilities encompass the main activities undertaken across a team of Tutorial Administrators. Duties and responsibilities are shared evenly amongst team members, in discussion and agreement with the Head of Tutorial and Student Support. As such, while no individual Tutorial Administrator will be required to complete all of the below tasks at any one time, each team member is expected to be capable of providing general support across all of the following areas, as needed. 1) Tutorial Office Administration ➢ Monitor the Tutorial inbox and respond to queries in a timely manner ➢ Prepare status letters/transcripts for students and relevant lists/statistics for college staff ➢ Maintain and update student records, files and office spreadsheets in line with department, college, university and GDPR needs and requirements ➢ Liaise with university and college offices regarding tutorial/student matters (e.g., Departments/Faculties, Student Support, Finance, Accommodation & Development Office) ➢ Assist with the organisation of departmental-related events/activities throughout the year including but not limited to: termly tutorial suppers; subject dinners; the Marlowe Dinner (“Half-way Hall”) for second-year UGs and the annual Supervisors’ Dinner at Leckhampton ➢ Attend relevant university/departmental forums and training ➢ Provide cover in the Tutorial Office during staff absences ➢ Assist with identifying and acting on opportunities for devising efficient administrative/support systems ➢ Undertake other tasks as required to support overall work of the Tutorial Office and the College, including occasional weekend/evening work (with time off in lieu to be arranged as appropriate) 2) Support for Tutors and Directors of Studies (DoS) ➢ Respond to day-to-day enquiries made by Tutors/DoS on behalf of their tutees ➢ Assist with arrangements for meetings and activities (e.g., termly/Green Mints) and, when required, attend, write and circulate notes from meeting Tutorial Administrator JD – October 2025 ➢ Update Tutors and DoS on changes to University policy and procedures, summarising key information regarding welfare and financial support for students ➢ Assist with applications to the Examination Access and Mitigation Committee (EAMC) and University/College financial assistance funds ➢ Maintain and update the Moodle sites for Tutors, DoS, and students ➢ Update DoS annual lists, Job Descriptions and President Letters ➢ Create annual appointment letters including to DoS and Praeceptors ➢ Provide support with using CamSIS, CamCORS and Moodle and offer general guidance and training, as required 3) Support for Students ➢ Assist and advise students on matters relating to college and university administrative processes/procedures and available support, and refer accordingly ➢ Work collaboratively with other college and university departments, including the Admissions Office, to ensure a seamless transition to college ➢ Provide holistic support to all students, referring to appropriate staff in relation to welfare/wellbeing matters (i.e., Senior/Deputy Senior Tutor, Head of Tutorial and Student Support, Tutors, Head of Wellbeing, College Nurse, Counselling etc.) ➢ Communicate with the Student Loan Company regarding attendance and change of circumstances; and update relevant staff and on CamSIS ➢ Process and administer college and university bursaries and scholarships including the Cambridge Bursary Scheme in liaison with the Senior Tutor and Finance Office ➢ Help to maintain compliance with all issues relating to students on visas, including uploading documents on CamSIS, monitoring termly engagement of studies, and responding to requirements specified by the International Student Office ➢ Keep track of intermitters including paperwork for resuming study ➢ Prepare for non-UCAS students’ arrivals including Caltech and Erasmus; organising annual Girdlers’ visit and preparation of termly reports ➢ Process and administer student book, travel and research grants in liaison with the Senior/Finance Tutor and the Finance Office 4) Matriculation and Induction of new undergraduates and postgraduates ➢ Liaise with other college departments to create and implement annual induction programme (i.e., Taylor and Parker Libraries, Catering, Chapel, Development, IT, Porters’ Lodge, Head of Wellbeing, College Nurse, Pelican Officer, JCR and MCR) ➢ Communicate with freshers about arrival and respond to related queries ➢ Update Freshers’ Moodle sites, including digital ‘Welcome Pack’ ➢ Greet students on arrival and help with the distribution of University cards, collection of forms, ID checks and the scanning of immigration documents ➢ Create individualised timetables for meetings with Directors of Studies and Tutors (UGs only) ➢ Help organise the Matriculation Dinners, including menus, numbers, dietary requirements, Fellows’ invitation and table plans 5) Exams ➢ Communicate with Directors of Studies and students regarding exam enrolments and verifications ➢ Assist with preparations for in-college Tripos examinations and Lent Term Collections, including applications and submissions for examination adjustments/arrangements Tutorial Administrator JD – October 2025 ➢ Help organise Lent Term collections, including liaising with Directors of Studies and supervisors to obtain exam papers; creating seating plans in Hall; distributing papers and collecting results for Governing Body ➢ Help organise University exams held in College, including recruitment and training of invigilators and liaising with on-call tutors ➢ Distribute Exam Confirmation Forms ➢ Create report for Governing Body on exam results and prizes; and prepare and send prize letters 6) Graduations ➢ Assist the Praelector through provision of secretarial support including liaising with Student Registry on all matters relating to the calendar of University congregations ➢ Assist with arrangements of all graduations (i.e., General Admission for undergraduates in June, MA graduations in January and February, and postgraduate graduations in October, November, April and July) by identifying potential graduands, inviting them to register for graduation, preparing and processing application forms, and sending updated information regarding ticket numbers/allocation and lunch passes to graduands ➢ Use CamSIS to prepare the supplicat before the deadline for each congregation date and send updates to Student Registry as required ➢ Monitor and reply to student enquiries about graduation throughout the year ➢ Maintain and update graduation information including on college website ➢ Prepare timetables in liaison with other college departments and Praelector ➢ Compile lists of graduands on CamSIS and for college use (including for Development) ➢ Be present for graduations to assist with dress checks and distribution of guest tickets and to help ensure the smooth running of the event ➢ Dispatch certificates and transcripts ➢ Attend Student Registry briefings on graduation ➢ Help organise the Graduation Dinner and the Senior Tutor’s buffet (General Admission) and graduation lunches (postgraduates) The above is not an exhaustive list and the post holder may be expected to undertake other related duties as required by the Head of Tutorial and Student Support or Senior Tutor.
