Events, Conferences and Marketing Assistant: Gladstone’s Library An exciting new opportunity has opened up here at Gladstone’s Library. We are looking to recruit an Events, Conferences and Marketing Assistant who will work with our Events, Conferences and Marketing Manager across the breadth of the library to support our events programme and group bookings, contribute to our social media and external communications, and deliver strong administrative support. We are looking for someone with an eye for detail, excellent communication skills, who is highly organised and proactive. You’ll be joining a small, passionate team dedicated to delivering meaningful events and experiences in an inspiring setting. About the Library: Gladstone's Library is a unique institution. It is the UK's finest residential library, boasting 26 bedrooms, an on-site restaurant and a comfortable guest common room. It is also the UK's only Prime Ministerial library and was built following a bequest from William Ewart Gladstone, Victorian statesman and four-times Prime Minister of Great Britain. The current building, raised in 1902 and designed by John Douglas, was funded by public subscription. The organisation is a self-sustaining registered charity. We host a lively programme of events which include talks, workshops, masterclasses and residential courses. Our world-famous Reading Rooms house thousands of books, including the Gladstone Foundation Collection, which comprises items from Gladstone's own personal library. They are also home to multiple unique archival collections, making it a destination for scholars from across the globe. About the Role: Gladstone’s Library is seeking a highly organised and proactive Events, Conferences and Marketing Assistant to join our team. This varied and rewarding role supports the planning and delivery of group bookings, events and conferences, from initial enquiry through to event setup and guest arrival, to post-event evaluation. You’ll carry out consistent processes and work closely with internal teams and external clients to ensure smooth operations, clear communication and exceptional experiences for guests. You’ll also contribute to our marketing and external communications by creating content, managing digital channels, and capturing event photography and videography. Key responsibilities of the role are: • Coordinate group and conference bookings, from enquiry to arrival to post-event communication. Maintain oversight of both imminent events and future bookings, prioritising effectively. • Maintain accurate records using internal databases and booking systems. • Uphold consistent communication processes and documentation across all groups. • Provide professional and courteous communication by phone and email. • Create and schedule marketing content (e.g. social media, newsletters, printed materials) and update website content. • Take high-quality photo and video content of events for promotional use. • Support forward planning for the events & conferences programme and the marketing schedule. • Support with event setup and take down. • Perform general administrative tasks in support of the Events, Conferences and Marketing Manager • Welcome groups on arrival, take pre-orders for meals and ensure the group’s visit is running smoothly. About You Your skills and attributes will include: • Excellent attention to detail and strong organisational skills. • Ability to manage multiple priorities and deadlines with good time management. • Strong written English and proofreading ability. • Confident and professional telephone manner. • Experience with databases, websites, content management systems, and Microsoft Office Suite. • Familiarity with social media and marketing platforms and basic design tools (e.g. Canva). • Self-motivated, proactive and comfortable working both independently and collaboratively. • Flexible and adaptable, including in your approach to occasional out-of-hours work. Things about the job you might like to know! • This role is for 34.5 hours per week. Your typical work week will look as follows: o Monday – Thursday: 9.00am – 5.00pm with 45-minute unpaid lunch break o Friday: 9.00am – 3.15pm with 45-minute unpaid lunch break • Evening and weekend work will sometimes be required, (e.g. supporting event set up and photography) and arranged with you in advance. Your hours will be adjusted accordingly with time off in lieu. • Your holiday entitlement 21 days a year. In addition, the Library closes for 2 weeks over Christmas and New Year. The holiday year runs from January- December. • The salary is £23,000 per year. An optional pension scheme is available, and we can provide further information. • There will be a 3-month probation period. • You will be line-managed by the Events, Conferences and Marketing Manager, Beth Russell-Tsuro. • A light lunch is available free of charge, and tea and coffee during the day. • Parking on site is sometimes available depending on how busy we are! • You must respect and support the liberal and inclusive values of the Library and reflect these in your everyday performance. • We are a friendly team – committed to a safe environment where colleagues can flourish and develop.
