Job title: Volunteer Coordinator (12 month contract)
Reporting to: Volunteer Manager
Hours: 18.5 hours per week, usually to be worked on weekdays, between 9am-5pm.
The hours should be worked on regular days/times to be agreed with the Volunteer Manager, to ensure they fit with RAY’s needs, but will need to include a full day each Thursday.
RAY delivers a monthly service on Sundays, and you will be required to take part in that service which involves a 6-7 hour working day for which you will be given the equivalent time off in the following week.
Salary: NJC Scale (SCP18-22) equating to £16.39-£17.52 per hour
Location: RAY does not have an office base – staff work from home with sessions and some meetings held in various locations generally close to York city centre. Sunday sessions are held at Clifton Green Primary School.
Summary of role
This is a key role within this small organisation and is integral to its ongoing development and success. The purpose of the role is to:
(i) Coordinate the team of volunteers, ensuring skills and abilities are matched to the roles, and providing adequate cover for key projects and services
(ii) Provide support and supervision to volunteers
(iii) Encourage and support members of the refugee and migrant communities with whom we work to volunteer
Key tasks:
To coordinate the team of volunteers, inducting and maintaining suitable volunteers for each project, ensuring their skills and abilities are matched to the needs of different volunteer roles
To welcome new volunteers and provide training and support to ensure they understand their role and RAY’s vision, mission and values
To assist with Enhanced DBS checks as required
To act as the first point of contact for volunteers throughout their time with RAY
To be responsible for organising volunteer rotas and regular communication with volunteers to ensure adequate cover for key projects and services
To be responsible for the safe and effective running of drop-in sessions alongside the coordination of volunteers as required
To review volunteer befriending and mentoring reports, and follow up with volunteers after events to maintain contact with volunteers who do not attend sessions
To ensure that volunteers are supported and supervised in their roles and are adhering to RAY’s policies and procedures.
To monitor and review volunteer placements to ensure volunteers receive sufficient support, and undertake 1:1 and small group check ins and report feedback to the Volunteer Manager
To encourage and support members of the refugee and migrant communities with whom we work to volunteer
To attend team meetings and take part in relevant training as required
To work collaboratively within the team to contribute towards cultural and fund-raising events which RAY organises from time to time, and to assist with the planning and delivery of holiday activities and special events
To work within RAY’s Policies and Procedures such as safeguarding and confidentiality and to uphold the organisation’s equal opportunity policy and other relevant policies
Any other duties that may be relevant to the post and required by Volunteer Manager, CEO and/or the Board of Trustees
