Photo Library Coordinator

Contract: Part time, 21 hours a week

Salary: £24,166 - £28,100 FTE

We’re recruiting a Photo Library Coordinator to join our creative resources team at our Burford head office. This is a hybrid part time role over three days a week, one of which will be based in the office. You will be part of small and collaborative team that provides creative support for all of Blue Cross. This includes graphic design, copywriting, photography and videography.

This is a brilliant role for someone who is highly organised, enjoys working in a creative environment and understands what makes a great photo.

More about the role

The Photo Library Coordinator is part of our busy in-house creative team, which sits within our wider marketing and communications team as part of the fundraising, communication and engagement directorate. 

As Photo Library Coordinator you will be responsible for both the day-to-day management and the ongoing development of our photo library, ensuring that we have the right photography available for our many needs. You will ensure images are easily accessible, of suitable quality, on brand and appropriate.  

About you

You will possess excellent administrative, communication and customer service skills. You’ll be reliable, conscientious and flexible with the ability to work on your own initiative. Remaining calm under pressure while delivering to tight deadlines, you will prioritise and manage a complex workload. Comfortable with technology and data, you’ll have a creative flair, with an eye for detail and an understanding of visual media. 


Key responsibilities:

  • Commission photo shoots ensuring photographers are well briefed, processes followed and all relevant admin complete
  • Review photos for quality/suitability and manage the approval process with internal experts
  • Upload assets and associated information to the library, add restrictions, create collections and tag key words to facilitate an effective search function
  • Monitor copyright and data protection implications to ensure we are compliant and adhering to best practice
  • Support colleagues to use the library effectively, including inductions and training
  • Work with colleagues in the fundraising and communications teams to ensure the Blue Cross story process is supported with approved images
  • Maintain good working relationships with photographers and identify/onboard new suppliers as required
  • Monitor the performance of the library, problem solve and look for ways to improve the resource
  • Work with our system support supplier to explore opportunities for the continual development of the library

  • Uploading other asset types to the library, eg pdfs, video, archive material

Essential Qualifications, Skills, and Experience

  • Experience of working with databases/asset management systems
  • An understanding of photography
  • The ability to effectively communicate with suppliers and service users of varying seniority and specialist knowledge
  • Experience of managing and implementing effective procedures and administrative functions
  • Experience of working in a fast-paced environment and working on multiple projects to tight deadlines

Desirable Qualifications, Skills, and Experience

  • Knowledge of ResourceSpace or another digital asset management system
  • Experience of working with brand guidelines
  • Knowledge of Photoshop
  • Knowledge of copyright and data protection requirements in relation to images
  • An understanding of pet behaviour
  • Knowledge of Monday.com
