Procurement Coordinator 

Salary: £32,135 - £35,327 per annum plus excellent benefits

Location: Walsall, West Midlands (minimum two days in the office depending on business needs)

Contract: Full Time, Permanent, 37 hours per week

Support the delivery of an effective, compliant and high-performing procurement service

We’re looking for a highly organised and motivated Procurement Coordinator to join our Procurement Team and play a key role in supporting the smooth running, administration and coordination of procurement activity across whg.

In this role, you’ll work closely with Procurement colleagues and build strong working relationships across the wider business. You’ll support the maturity of our procurement processes, ensure our records and systems are accurate and compliant, and help us provide a consistent, high-quality service to the organisation.

You’ll deliver excellent customer service, demonstrate our values, and take ownership of your learning as you develop your procurement knowledge, skills and confidence.

Main job responsibilities:

 

  • Coordinate day-to-day administrative activity for the Procurement Team, including diary management, booking meetings, minute taking and supporting audits.
  • Manage the Procurement Team mailbox, triaging queries, tracking actions and coordinating timely responses.
  • Check and process new supplier and supplier amendment requests in line with procurement policy and guidance.
  • Act as system owner for the e-procurement and contract management systems, ensuring accurate data, consistent use and effective support for colleagues.
  • Build procurement projects in the e-procurement system, managing expressions of interest, clarifications and project documentation.
  • Run spend reports from the finance system, identifying trends and supporting category spend analysis.
  • Support the upkeep of the procurement pipeline, ensuring information is accurate and up to date.
  • Maintain the contracts register, including contract creation, document uploads, compliance checks, alerts, renewal triggers and monitoring key documents (e.g. PCGs, insurances, accreditations).
  • Run credit file checks on suppliers and update the supplier risk register, escalating any alerts to Contract Managers.
  • Produce and process contract variations and modifications, ensuring they are fully executed in line with our governance framework.
  • Support contract mobilisation and demobilisation, ensuring documentation is accurate, accessible and compliant with retention policies.
  • Record procurement information in a clear, structured and auditable way to support compliance with procurement legislation and Cabinet Office guidance.
  • Assist with training delivery by preparing materials, coordinating sessions and ensuring effective participation.
  • Collate tender evaluations, support moderation meetings and produce assessment summaries.
  • Raise purchase orders, receipt goods/services and assist with invoice approvals for the Procurement Team.
  • Provide support to colleagues using the e-procurement and contract management systems to enhance capability across the business.
  • Produce visuals, charts and draft reports to support procurement reporting and analysis.
  • Assist in publishing statutory notices on the Find a Tender Service under the direction of Procurement Team colleagues.

 

We're looking for someone who has:

 

  • A good general standard of education including GCSE English and maths at grade 4 and above or equivalent.
  • A passion and enthusiasm for delivering a great service with excellent administration and organisational skills and attention to detail
  • Highly organised approach to work, managing own workload, in accordance with all applicable policies, procedures, legislation and timescales.
  • Ability to identify key priorities to manage workload/demands accordingly within a small team environment
  • Excellent written and verbal communication skills including producing of correspondence to external parties.
  • Self-motivated and accountable, with ability to work collaboratively with stakeholders both internally and externally and within a team building positive working relationships
  • Excellent IT skills which include the ability to confidently use all Microsoft Office applications and confidently input accurate information and analyse data adhering to deadlines and targets.
  • A flexible and adaptable approach to work, with a willingness to take on new ideas and experiences, with ability to respond quickly and flexibly to changes which can sometimes be unpredictable and require constant shifts in priority.
