JOB DESCRIPTION: ADMINISTRATIVE OFFICER

The Latin Mass Society (LMS) is a membership-supported London-based Roman Catholic charity (No. 248388). Founded in 1965. It is an association of Catholic faithful dedicated to the traditional Latin liturgy of the Catholic Church, the teachings and practices integral to it, the musical tradition which serves it, and the Latin language in which it is celebrated.

Job title: Administrative Officer

Basis: Ten month fixed-term contract: half time role – 17.5 hours per week

Based at our central London office, the Administrative Officer is responsible supporting the administrative work of the charity. The General Manager is their line manager.

KEY AREAS OF RESPONSIBILITY

• Office Administration: Process bank and card payments, record financial transactions on CiviCRM and Sage, record and deposit cheques; review and update member records to ensure accuracy; order office supplies; manage incoming calls and office reception.

Event Support: Support the General Manager in the administration and execution of the LMS events program, including special events.

Membership Administration: on-boarding new members, dispatching new member packs and dealing with member enquiries.

Online Shop: Oversee stock ordering and inventory control; oversee product listing on LMS website; during busy periods, work with the Office Assistant to process and dispatch orders.

Volunteer Coordination: Collaborate with the Office Assistant to promote and facilitate volunteer engagement in office operations.

Communications: Provide support for LMS communications.

• Additional Tasks: Perform other duties as assigned by the General Manager.

QUALIFICATIONS

As the position involves access to confidential information, the successful candidate must always respect confidentiality.

Good knowledge of Roman Catholicism, the traditional Latin Mass and a willingness to learn more about the intricacies of the traditional Roman Rite.

Strong customer service and communication skills, with a diplomatic and compassionate attitude.

Excellent multi-tasking skills.

• Possess the ability to prioritise work according to deadlines and work under pressure.

Strong attention to detail and the ability to work accurately and in a timely manner at all times.

• IT Proficient (Microsoft and Google suites)

Ability to lift up to 11kgs.

Advantageous qualifications:

Experience of using CRM systems.
