PREP SCHOOL UK REGISTRAR JOB DESCRIPTION Job Title: PREP SCHOOL UK REGISTRAR Responsible to: The Head Teacher of Casterton, Sedbergh Preparatory School and the Director of Admissions The Prep School UK Registrar will also work closely with the Overseas Registrar, the Marketing Team and the Head Teacher of Sedbergh School Main Purpose: Recruitment of new pupils into Casterton, Sedbergh Preparatory School (CSPS) from the UK and abroad. The Prep School UK Registrar will work as part of a small, specialist team. They will forge strong relationships with colleagues, as well as with the parents of prospective pupils, and the Head Teachers and Staff of feeder schools, by email and telephone and in conversation. The Prep School UK Registrar will be a public representative of CSPS at all times, and will be a genuine and knowledgeable advocate of co-educational boarding education. They will have good market knowledge, be adept at administration and committed to excellent customer service. They will be familiar with trend analysis and willing to respond to that information. Roles and Responsibilities: Manage and take responsibility for the recruitment of new pupils into CSPS; including but not limited to: • Enquiries and Registrations - - Ensuring enquiries are met with a professional, timely and personal approach. Ensuring all enquiry data is accurately entered onto the necessary database/s, with incremental data added in a timely manner, during the course of the admissions process, and as necessary once current pupils, to remain compliant with regulations - Working closely with prospective families and their agents to understand their individual - needs; effectively communicating how the school’s ethos and values align to those needs. Keeping the Head Teacher, Director of Admissions, Housemasters/mistresses and Bursary staff up to date with the status of applications - Providing appropriate information required to monitor the Key Performance Indicators - Working with the Head Teacher on Class and House allocation and to ensure best use of capacity throughout the School • School Tours - Encouraging and arranging prospective family visits, ensuring an outstanding visitor experience, and following up after visits - - Taking prospective families on tours of CSPS when necessary Follow up with the family after every visit • Tasters - Organising pupil taster experiences – ensuring they are greeted, settled in, meet with any/all necessary members of staff during their day/stay, and parents are met at pick up time Follow up with the family after every taster - • Assessment - Ensuring clear and timely communication of the conditions of entry - Undertaking, organising and co-ordinating prospective pupil assessment: ▪ Reviewing school report/s and reference/s ▪ Reviewing educational psychologist/diagnostic/other educational and any medical reports; liaising with Deputy Head Pastoral and Learning Support as necessary ▪ Organising and running scholarship assessments, collating feedback and helping prepare outcome letters and managing responses ▪ Ensuring necessary academic information is secured for all new pupils and distributed accordingly ▪ Ensuring any and all pastoral information is understood and distributed as necessary • Guardianship - For families living overseas, creating contracts of guardianship in accordance with safeguarding responsibilities (and UKVI regulations if necessary) and ensure the return of suitable guardian details appointed by the family • Pupil Induction - Helping prepare and disseminate the New Pupil Admissions Documentation; ensure all is completed by parents in a timely manner; and distribute to School staff as necessary Liaising with Staff to help ensure the smooth transition & induction of new overseas pupils and their families, and that support arrangements for new starters are in place - • Marketing - Contributing to market research and data analysis - Work with the marketing team to identify marketing opportunities and to assist with the development of marketing materials • Organise and help run open days/weeks alongside the marketing team • Helping to organise and run other ad hoc or annual recruitment-specific events • Helping to organise and host recruitment-specific receptions • Fostering and maintaining good working relationships with feeder school Head Teachers and key stakeholders • Helping represent CSPS and Sedbergh Senior School as well as Sedbergh Courses at events • Alongside the marketing team, helping ensure supplies of marketing materials in admissions office are kept well stocked with a view to all upcoming events • Help identify opportunities and with the development of marketing materials Other Duties: • To undertake any other reasonable tasks as directed by the Head Teacher of CSPS and/or the Director of Admissions • To work closely with the Overseas Registrar so they can effectively handle enquires and admissions for overseas pupils including for example, spaces in classes or boarding houses • A willingness to work flexibility Health and Safety: All staff should be aware of the school’s health and safety policy and implement it as appropriate.
