Job Description Job Title: Finance Administrator Hours: Part-time, one day or 2 half days per week (0.25 FTE – see below for details on shorter working week) Salary: £29,910 FTE; pro-rata salary £7,477 Reports to: Finance Manager Based at: Home based working in the UK. The Position This is a newly created role to provide extra capacity within the finance function at STOPAIDS. We are looking for someone with previous finance experience, ideally within a charity. The Finance Administrator is responsible for supporting the maintenance of financial and administrative services working closely with the Finance Manager to meet legislative and policy requirements and to support the operations of STOPAIDS. These duties include but are not limited to Xero Accounts functions, assisting with payroll and processing invoices and financial transactions. STOPAIDS is a fully remote organisation, so the postholder would be working from home, but the team is very connected and collaborative, so there will be plenty of contact and support. Responsibilities Reporting directly to the Finance Manager (remote), the Finance Administrator will support and assist the Finance Manager with a variety of tasks, with a focus on maintaining our financial records and processing expense claims and payment requests. Key Support Accountabilities 1. Assist in managing finance queries 2. Regular posting of income and expenditure entries to Xero Accounts 3. Assisting with month-end management accounts when required, and with year-end procedures 4. Processing expenses payments and supplier invoices 5. Raising Purchase Requisition Forms (PRFs), ensuring that the correct fund and account codes have been used, and obtaining the appropriate authorisations 6. Maintain financial files and spreadsheet records 7. Manage the digital filing, storage, archiving and security of documents meeting all Data Protection requirements and responsibilities 8. Monthly credit / debit card entry and reconciliation 9. Ensure the safeguarding of all STOPAIDS finances via the implementation and adherence of financial policies and procedures 10. Perform other related duties as required and provide some cover for Finance Manager during leave periods 11. Work to deadlines when required 2 Person Specification Knowledge and Experience The Finance Administrator must be knowledgeable in the following areas: • Proven experience of working in a Finance Office, preferably in the not- for-profit sector • Proven expertise with computerised accounts systems, preferably Xero • Strong numeric skills • Highly proficient computer skills including in-depth knowledge of Excel and major Microsoft programs • Accountancy or bookkeeping qualifications, or equivalent experience • GCSE English and Mathematics at minimum grade C/level 4 • Good editing, data collection, record keeping skills with analysis skillset Desirable • Knowledge of Charities Commission and Companies House requirements • Understanding of charity and accruals accounting Personal Attributes The Finance Administrator must maintain strict confidentiality in all aspects of performing the duties of their role to include absolute discretion concerning information shared with peers and colleagues.
