CREDIT CONTROLLER & SALES LEDGER ASSISTANT (PART TIME) JOB DESCRIPTION AND FURTHER INFORMATION FOR CANDIDATES Reporting to: The Bursar Job Purpose: Salary: The successful candidate will be responsible for general sales ledger duties and the delivery of credit control in line with school policies and procedures. In addition, they will support the department with general financial and admin duties. Part Time 24 hours per week Fixed Term for 6-month contract with the possibility of extension Salary equivalent to £8,100 Pro Rata (£27,000 FTE) Immediate start available KEY RESPONSIBILITIES ● ● ● Process debtor payments and perform accurate daily cash allocations. Review, reconcile, and monitor debtor accounts; perform monthly account reconciliations and prepare aged debtor reports for review with the Bursar. Chase overdue debts by phone, email, or letter; send statements and reminder letters as appropriate. ● Where necessary, agree on payment plans and settlement arrangements with account holders. ● Maintain detailed conversation notes and debtor history in the finance system. ● ● Escalate outstanding debts in line with the credit policy, including liaison with debt collection when required to achieve beneficial outcomes. Liaise with the Bursar to accurately forecast incoming cash receipts. ● Build and maintain strong relationships with parents and internal stakeholders to ensure timely collection and excellent service. Proactively manage parent queries, credit note requirements, and requests for copy invoices or statements. Support the monthly and termly fee billing cycles, ensuring timely and accurate billing. Assist in managing the government Early Years funding applications and allocations. Support the implementation of the Direct Debit system and monitor associated payments to ensure ● ● ● ● accuracy and timeliness. ● Monitor and respond to queries in the Finance email inbox efficiently. ● ● Contribute to financial projects and undertake ad hoc administrative tasks as required. Collaborate with other departments to resolve queries and deliver a high standard of service. ● Work as part of a team, supporting the School’s ethos and educational priorities. The ideal candidate will have the following: Attributes Qualifications Essential Criteria Maths and English GCSE Desirable Criteria CICM Experience Previous relevant experience working within a Credit Control or finance setting Experience of Xero and Dext finance systems Excellent numerical and analytical skills Ability to work on own initiative, plan organise and determine own workload / priorities to meet tight deadlines Able to communicate professionally and diplomatically with parents, maintaining positive relationships while effectively managing sensitive credit control matters Excellent time management and organisational skills Excellent spoken and written English, accuracy and attention to detail Ability to be discreet and uphold confidentiality Energy, drive, enthusiasm and a positive manner Must show a willingness to be flexible and work as part of a small team Awareness of the importance of Child Protection and Safeguarding of young people TERMS AND CONDITIONS OF EMPLOYMENT: This appointment is in regulated activity. Support Staff: Part Time Credit Controller The following particulars do not form any part of an offer of employment. Terms and conditions, which will incorporate the Staff Handbook and contract of employment, will be documented in due course to the successful candidate. ● ● ● ● ● The Credit Controller is appointed by the Head, subject to enhanced DBS clearance and receipt of two satisfactory references. The successful candidate will be required to complete a confidential pre- employment health questionnaire. This role is a Short-Term, part-time contract role plus 5 In-service Training Days. A competitive salary in the range of: £27,000 FTE (£8,100 pro-rata) will be paid for this role depending on experience and qualifications. This will be paid in monthly instalments in arrears from the agreed date of the appointment and inclusive of holiday pay. The appointment is subject to a 6-week probationary period which may be extended following a performance review. Junction 49 of the A1 is about 2 miles away. Founded in 1925, the school was originally situated at Duncombe Park, but moved to its present site in 1985. Baldersby Park, the school's current home, is a Grade 1 listed building surrounded by 40 acres of landscaped grounds, sports fields and paddocks. There is a co-ed pre-prep department and the main school is for girls only and spans the age range 7 to 16.
