Finance & Project Reporting Accountant

REPORTING LINE & KEY INTERFACES:
Reports to:  Head of Finance

Key Interfaces:  GALVmed staff (including project and administrative staff, CEO and Directors), finance
team, external partners (e.g. bank, suppliers, auditors, partners) & funders.
MAIN PURPOSE AND SCOPE OF THE JOB

•  Responsible for reporting the progress of actual project spend against Budget/Forecast ensuring

variances are investigated with clear and timely communication provided to relevant stakeholders.

•  Responsible for regular project meetings with budget holders to ensure accurate financial

information is provided.

•  Responsible for the preparation of funder reporting to support the Head of Finance with onward

submission.

•  Responsible for accurate and timely information required to prepare individual project Budgets and
the annual Budget for Board Approval and subsequent annual Forecast for internal reporting.

•  Establish working relationships with professional advisors, funders, bankers and auditors, as

necessary.

KEY ACTIVITIES

Reporting

•  Responsible for production of all monthly project accounting entries and related reporting for the

review by Head of Finance.

•  Liaising with colleagues on internal reporting and related deadlines to ensure all information is

received timely in order to meet internal and external deadlines.

•  Preparation of funder reporting including monthly programme reconciliations for the review by

Head of Finance.

•  Assisting with the quarterly funder publications of development and humanitarian data through the

International Aid Transparency Initiative (IATI).

•  Assisting the Head of Finance with areas of the year-end process, including preparation of parts of
the statutory accounts, audit file and liaising with internal and external auditors when required.

Holiday cover for duties of the Management Accountant as follows:

•  Assist the Head of Finance with the production of the monthly management accounts.
•  Liaise with international offices (Kenya and India) on a daily basis for all internal reporting.
•  Preparing monthly balance sheet reconciliations.
•  Preparation of payroll information for UK, Kenya & India staff for onward submission to our external

payroll advisors.

•  Work with Finance Officer (India) for day-to-day processing as well as preparing/reviewing the

weekly payment run.

•  Completing daily foreign exchange supplier reconciliations.

Other

•  Assist with maintenance of the finance systems (SunSystems, IPOS, etc).

•  Provide support/drive improvement of processes, procedures and internal controls.
•  Data collation, extraction and analysis when needed.
•  Support and deputise for the Head of Finance with other ad-hoc duties when required.

QUALIFICATIONS / EXPERIENCE REQUIRED (IN ORDER TO SUCCESSFULLY CARRY OUT THE JOB ROLE)
Essential
•  Full responsibility for collection, production and presentation of project financial information, including

Budgets.

•  Experience of working in a small yet complex/busy finance team, covering others duties as and when

required.

•  Financial accounting packages & IT applications (especially Excel) working knowledge to a complex &

high level.

•  Qualified Accountant – CIMA/ACCA.
Desirable
•  Foreign currency experience (especially multi-currency).
•  Experience of charity accounting (reserves) and year end statutory reporting.
•  Experience of accounting for projects that last for several years.
•  Working knowledge of SunSystems version 6.4, IPOS, Vision Excel, or other complex finance & reporting

systems.
