JOB TITLE: Registry Operations Manager

DEPARTMENT: Registry

REPORTING TO: Academic Registrar

HOURS: 36.25 / Full time

Student Journey & Records Management

> Oversee the full student journey including attendance, extensions, interruptions, withdrawals, and progression changes.

> Annual and monthly registration returns to the validating university

> Respond to student and tutor enquiries via phone, email, and face-to-face.

> Maintain the student record system with accurate and timely updates.

> Coordinate with the College team to ensure communication of all student movements. Registry Communications & Administration

> Manage the Registry inbox ensuring responses within three working days.

> Set academic calendars and timetables in liaison with Programme Leaders and the Venue Manager.

> Release grades on Moodle and ensure accurate transfer to student record systems.

> Prepare papers and minutes for academic meetings including Research Ethics Committee.

Compliance, Policy & Regulation

> Maintain understanding of validating university regulations and Waverley Abbey College policies.

> Monitor student compliance with academic requirements.

> Contribute to audits and programme validation/revalidation.

Assessment & Progression Boards

> Liaise with students regarding late or missing submissions.

> Coordinate marking progress with tutors.

> Prepare External Examiner documentation and grade sheets.

> Notify students of Assessment Board outcomes.

> Coordinate with Student Finance to resolve outstanding fees.

> Support graduation processes and eligibility checks.

General Duties

> Produce accurate and timely reports.

> Attend College meetings and events including Open Days and Graduation services.

> Run the monthly Extenuating Circumstances Panel.

> Liaise with Learning Support, Programme Leaders and Tutors.

> Line-manage Academic Administrators.

> Support ongoing development of academic processes.

> Participate in ongoing professional development.

Person Specification Education & Qualifications

> Educated to degree level (Desirable)

> GCSE Maths grade 5 or above (Essential)

> Fluent written and spoken English (Essential) Knowledge

> Understanding of the Higher Education sector (Essential)

> Knowledge of student administration processes (Essential)

> Understanding of assessment and grading systems (Essential) Experience

> Experience using a Student Records database (Essential)

> Experience supervising staff (Essential)

> Experience providing excellent student/customer service (Essential)

> Proficient in Microsoft Office Suite including Excel and Word (Essential)

> Accurate written communication including minute-taking (Essential)
