The EA to the International CEO’s primary purpose of this role is to provide administrative, logistical and research support to the International CEO. The role will focus on research on donors/partners and stakeholders, draft briefing materials, packs for external meetings and events for the International CEO. There will be opportunities for training and mentoring related to the role.
Engagement of the role:
- Manage the inbox of the International CEO, ensuring the response is in a timely manner to all internal and external communications to ensure we are operating a timely and efficient ‘office’.
- Triage and draft email responses – understanding and representing well the ‘voice’ of the International CEO.
- Manage the International CEO’s correspondence and communications with key supporters/stakeholders, external partners, donors, and ensure they are recorded in Salesforce, where relevant.
- In conjunction with the staff team, proactively prompt and coordinate the cultivation of the International CEO’s relationships with donors and key stakeholders both internal and external.
- Work across the teams globally to ensure that the International CEO is available and involved appropriately to ensure the team can move forward, and get feedback, decisions and support in the delivery of their objectives and plans.
Key Responsibilities
Communications, Co-ordination and Planning:
- Manage the diary of the International CEO (with respect to external parties and events) and ensure the right people are met at the right time with the right information.
- Prepare draft letters and other documents for the International CEO, including confidential and sensitive information as required.
- Manage logistical support, reserving office space.
- Executive travel: coordinate and execute all international travel for the CEO, in liaison with the Executive Communications Senior Officer.
- Provide briefings for the International CEO in advance of important meetings and events, liaising with different members of the staff team as appropriate.
- Draft presentations for multiple audiences including donors and supporters, trustees, senior stakeholders, global board meetings and board committees, working with the right staff for relevant content.
- Coordinate appropriate meetings and fundraising opportunities, working with the right staff teams and updating them on relevant meetings and actions.
- In collaboration with Senior Officer, Executive Communications, Director of Governance and Executive Operations, and Global Director of Communications, participate in development, implementation, and coordination of External Engagement strategy in regard to the International CEO. Provide necessary preparation for external events.
- Proactively improve existing systems and processes, if necessary, to assist in creating an efficient and effective working environment and team.
Research
- Research donor/partner/stakeholder and draft briefing materials, packs for external meetings and events.
- Contribute research and drafting for policy briefs, speeches, panel interventions and other external engagements.
- Ensure Salesforce is up to date, logging all external meeting/event information.
Other
- Be responsible for personal learning and development and participate in supervision, training, and meetings as required.
- Occasional travel with the International CEO to assist in preparation of meetings and logistics.
- Undertake any other duties appropriate to the post as required.
Skills Knowledge and Expertise
Required
- Undergraduate degree or similar experience of working in a collaborative working environment.
- Able to work with senior-level stakeholders and arrange important large meetings, juggling diaries and appointments, providing administrative support, and managing correspondence.
- Strong professional research, writing and communications skills.
- Strong work ethic and willingness to take ownership for wide-ranging responsibilities.
- Extraordinary organisational skills and the ability to multi-task, prioritise with attention to detail, and maintain accuracy under pressure.
- Able to work in a confidential environment, working sensitively with good judgment and discretion.
- Competent in Word, Excel, PowerPoint, Outlook and SharePoint.
- Ability to represent the organisation in a professional manner.
- Working with fundraising database or CRM equivalent.
Preferred
- Experience of working in a charity or not-for-profit team.
- Demonstrated commitment to mission-related causes.
- Demonstrable understanding of and passion for women's issues, conflict, and international development.
