Pastoral Data and Administration Officer Job Description Job title Responsible to Key relationship with Headteacher Pastoral Data and Administration Officer Associate Senior Leader: Culture, Engagement and Pastoral Support Job purpose Key Responsibilities Residential Managers Head of Pupil Support SENCo Family Support and Child Protection Officer Assistant Headteacher Speech and Language Therapist Parents/Carers Wider school staff As the Pastoral Data and Administration Officer, you will work with members of the pastoral team to support pupils in flourishing at the Marchant-Holliday School. You will ensure documents relating to pupils are populated and updated regularly, working collaboratively with colleagues to identify and implement any relevant changes. You will also assist the Associate Senior Leader: Culture, Engagement and Pastoral Support in producing and analysing trends in behaviour. • Provide day-to-day administrative assistance to the Associate Senior Leader for Culture, Engagement and Pastoral Support • Support with the deployment and timetabling of staff for SEMH interventions and provision • Manage and analyse CPOMs data (covering behaviour, medical, and social service involvement), producing clear reports and summaries as required • Proactively support behaviour management strategies, working closely with the Associate Senior Leader for Culture, Engagement and Pastoral Support and other key staff • Provide administrative support for the Associate Senior Leader • for Culture, Engagement and Pastoral Support, including minute- taking, preparing correspondence, and maintaining records Liaise with staff, parents, and external agencies as required, ensuring high standards of communication and confidentiality • Assist in the organisation of school events and activities linked to culture, engagement, and pastoral care • Support the maintenance and monitoring of behaviour and pastoral support systems, escalating concerns as appropriate • Ensure all records are maintained in line with data protection and safeguarding requirements • Ensure all pupil information regarding behaviour, emotional wellbeing and pastoral care is appropriately recorded and shared. • Maintain pupil records, ensuring information is complete • Produce regular behaviour reports, identifying trends and patterns. • Constantly review the systems used and be proactive in developing innovative administrative systems in order to meet Safeguarding Personal Development the changing requirements of the pastoral team and to ensure processes are efficient and effective. • Organise and, when relevant, attend meetings • Ensure that the school meets its commitment to the safeguarding and promotion of welfare for all the pupils and staff. • Meet statutory requirements relating to the most up to date • versions of ‘Keeping Children Safe in Education’, ‘Working Together to Safeguard Children’ and ‘What to do if you are Worried a Child is being Abused – advice for Practitioners. • Help keep your own knowledge and understanding relevant and up-to-date by reflecting on your own practice, liaising with school leaders, and identifying relevant professional development to improve personal effectiveness. • Take opportunities to build the appropriate skills, qualifications, and/or experience needed for the role, with support from the school. • Take part in the school’s appraisal procedures. • To actively engage in Performance Management Review process.
