Routine weekend and evening working will be required to deliver the role and support the museum teams, with flexible working hours • Salary is £40k • 34 days annual leave (including bank holidays) • Permanent contract following satisfactory completion of a 6-month probationary period • Responsible to Director of Museums Job purpose The Facilities Project Manager is responsible for overseeing the maintenance, development, security and improvement of BPTs buildings and grounds. They are responsible for the delivery of capital schemes from inception to completion. They ensure BPT environments are safe, comfortable and meet the needs of employees and visitors. Working closely with the CEO, Trustees and the Senior Management Team, the postholder will be leading on the delivery and completion of small capital projects (up to £500k) to meet timescales, budgets and outcomes. Responsibilities The main activities and responsibilities of the role are described below. This is not intended to be an exhaustive list but a guide to the main priorities. The post holder may be required to undertake other duties and responsibilities compatible with the overall scope of the post. They are expected to use their judgement about priorities within the overall role purpose. 1. Facilities and Projects • Manage day to day maintenance of all properties, facilities, fixtures and fittings to include support for any reactive or emergency situations that may arise. • Ensure an effective programme of planned maintenance is in place for all sites with contractors appointed so that facilities and buildings are legally compliant and efficiently managed to agreed standards and performance levels • Plan, coordinate and manage facilities projects including building renovations and improvements, relocations and maintenance activities. • Lead smaller capital projects and manage larger-scale schemes with the capital works group • Support the commissioning process with budgets up to £500k from preparation through to handover. • Ensure projects are completed safely, on time and within budget. Health and Safety • Lead o Health and Safety standards across all sites to ensure that at least minimum standards as identified and agreed are complied with, remaining compliant with relevant health and safety regulations. • Working with BPT’s contracted Health & Safety Consultants, ensure Health and Safety policies and procedures are kept up to date and work with the management team to ensure these are communicated, embedded and embraced across BPT. • Advise employees and contractors on Health and Safety, supporting with training as required. • Full investigation of any accidents and near miss incidents and report as required. • Ensure compliance with safety and security regulations and complete safety audits and inspections. • Prepare for and lead the annual safety audit across all BPT sites, reporting any concerns to BPT management. 3. People and Supplier Management • Select, manage and monitor suppliers and contractors ensuring they meet ongoing and project requirements and performance standards. • Ensure effective provision for cleaning, maintenance, IT support and security and oversee contractors. • Conduct site visits to monitor progress, quality of work and compliance with safety standards, addressing any issues that arise during building works. • Liaise with colleagues to plan upcoming delivery of works and arrange access. 4. Budgeting • Manage ongoing budgets and accounts, maintaining equipment audits. • Develop and manage project budgets, track expenses and provide regular updates to management regarding project status and financial performance. • Request and evaluate quotes and tenders for proposed works. • To assist with financial processes and use the internal finance system to raise orders and invoices and ensure the prompt and correct payment of contractors and suppliers. 5. Communication and Reporting • Assist with communication about ongoing projects, both internally and externally as required including the production and distribution of regular internal newsletters charting progress of capital projects. • Facilitating and informing the capital works group made up of Trustees and senior leadership team on projects, progress and issues. • Arrange and manage project meetings including taking and distributing minutes and following up on actions. • Post-project evaluation. 6. Documentation • Maintain organised project documentation including contracts, drawings and reports. General • To be available for out of hours emergency call out at all sites as appropriate. • Provide support to our events teams. • To support such other reasonable duties as may from time to time be required of the post holder.
