They will ensure that allattendance data is accurately recorded, monitored and reported using the school’s MIS (SIMS). In addition,the role includes providing high-quality administrative support for pastoral and safeguarding matters, helpingto ensure that all pupils are supported to thrive both academically and personally. This is a new role that wehope will provide an exciting opportunity for the right candidate.Job Details and RemunerationHours: 36 hours per week. Monday 8.20am to 4.10pm and Tuesday to Friday 8.20am to 4pm with a 30-minuteunpaid lunch break each day during term time. A student’s definition of success is their own, but what we instil in them is a feeling thattheir sights should never be lowered by external forces.Job DescriptionKey Responsibilities for Attendance include:Maintain accurate daily attendance records in SIMS, ensuring all registers are completed and absencesare recorded promptly.Follow up unexplained absences and lateness in line with school procedures, including contactingparents/guardians.Monitor attendance of those under 95%, 90%, 85% and below and follow up with Head of Year teams,Safeguarding Manager and Deputy Head Pastoral.Communicate with parents/guardians to make them aware of their daughter’s attendance figures.Monitor patterns of attendance and punctuality, producing regular reports for senior staff, Heads of Year,and the DSL.Track attendance of vulnerable groups and share information with Heads of Year and the Deputy Head,Pastoral.Interpret attendance reports, identifying key statistics, reasons for absence and any patterns of concerns.Identify students who require additional support to improve their attendance.Support the development and implementation of strategies to improve attendance. Work with the EWOwhere appropriate to do this.Review the progress and the impact of interventions.Take responsibility for the school’s Attendance Policy, with the support of the Deputy Head, Pastoral. Coordinate meetings with parents/students to implement interventions and improve attendance.Maintain accurate records of all communications and interventions with parents/guardians andauthorities/agencies on CPOMS.Provide attendance data for audits, inspections, governors reports, safeguarding meetings, statutoryreturns and internal analysis.Additionally, your work will include the following:Pastoral Administration1. Provide efficient administrative support to the pastoral team, including scheduling meetings, preparingreports, taking minutes and maintaining pupil files where appropriate.2. Assist in the organisation of pastoral events, workshops, and initiatives (e.g. parental events, mentoringprogramme organisation etc).3. Support Heads of Year with record-keeping and communication to parents/carers.4. Help track pastoral data (e.g., behaviour, wellbeing, achievement) and produce summaries for staff asneeded.Safeguarding Administration1.Support the Designated Safeguarding Lead (DSL) and Deputy DSLs with administrative tasks, ensuringconfidentiality at all times.2. Maintain accurate and secure safeguarding records in line with statutory requirements.3. Assist with logging safeguarding concerns when required and ensuring timely follow-up actions.4. Assist with the collation of information for case conferences, child protection meetings, and multi-agency requests.5. Ensure safeguarding paperwork is securely stored and compliant with GDPR.Systems and Data1. Demonstrate a high level of competence in SIMS, using it to record, track, and analyse student data.2. Generate statistical reports for attendance, safeguarding, and pastoral purposes.3.
