Purpose

Provide steady, inclusive and confidential support across the full employee lifecycle at

Ufton. Maintain accurate records, coordinate recruitment and onboarding, and

the SLT  to

uphold fair  and legally compliant  best practice. Contribute to a culture rooted in equity,

belonging and safeguarding.

Key Responsibilities

1.  Recruitment and onboarding

•  Coordinate adverts, candidate packs and interview scheduling

•  Manage applicant communication with care and clarity
•  Carry out pre -employment checks including references, right to work and

DBS

•  Prepare induction plans and support managers to welcome new staff

•  Maintain recruitment records to UK GDPR standards

2.  Employee records and systems

•  Keep all staff files and digital systems up to date
•  Produce routine reports for SLT and trustees
•  Update absence, leave and training data promptly

 using Connecteam

3.  HR processes and administration

•  Draft contracts, variations and amendment letters
•  Track probation reviews and appraisal timelines
•
•  Monitor mandatory training and book courses
•  Respond to staff queries with warmth, fairness and discretion

Support payroll preparation through accurate data entry

4.  Policy, EDI and culture support

•  Assist with updating policies including Equality, Diversity and Inclusion
•  Ensure documents reflect current UK legislation
•  Promote inclusive practice in line with Ufton’s ethos and the Equalities and

Inclusion policy
Support initiatives that build belonging, psychological safety and engagement

5.  Safeguarding and compliance

•  Maintain up -to-date checks and renewal alerts
•  Uphold safer recruitment procedures at every stage
•
Support internal audits
•  Escalate concerns promptly

•  Provide administrative support to the

The post holder will also:

•  Contribute to supporting the overall achievement of Ufton’s strategy

•  Undertake any additional and ad hoc tasks as required

•  Actively contribute in team meetings and other activities as required

•  Represent Ufton in a professional manner
•  Work within an EDI framework, adhere to all the Charity’s policies, procedures and

working practices

•  To promote, monitor and maintain health, safety and security in the working

environment

•  Ensure all records are held in compliance with GDPR, The Fundraising Regulator Code of

Practice and Ufton policies.

Person Specification

Experience

•  Experience in an HR or administrative role in a

diverse  setting

•  Experience managing confidential information sensitively

•  Experience supporting recruitment and onboarding processes

•  Experience working in an education, charity or social impact organisation is

desirable

•  Experience maintaining HR systems is desirable

Knowledge and skills

•  Understanding of UK employment law fundamentals

•

Strong organisational and time management skills

•  Confident with digital systems including HR databases and MS Office

•  Clear and respectful communication skills

•  Ability to draft accurate documents and letters

•  Understanding of inclusive and trauma

-informed practice or willingness to learn

Qualifications

•  CIPD Level 3 or willingness to work towards it

•  Evidence of ongoing professional development is desirable

Working with Children

Safeguarding:  All staff at Ufton share responsibility for keeping children safe. As such, you

must :

Follow Ufton’s Safeguarding Policy and safer working practices

•  Complete relevant safeguarding training
•  Maintain clear professional boundaries
•  Report any concerns promptly

This role may involve direct or indirect work with children. A commitment to creating a safe,

inclusive culture across the estate is essential.

Conduct around children:

anything that falls short.

We are based in a glorious rural location but that does mean you'll need access to your own

transport. Whilst on site you’ll have lunch provided and there is usually homemade cake

around.

You must have the right to work in the UK and to be onsite

as often as possible as we are a

place -based  organisation  –  you’ll soon have FOM O anyway .
