About CAS

We exist to ensure the sector is supported, safe and sustainable. We
provide (or signpost) whatever is needed behind the scenes to enable this,
so the sector can concentrate on doing what it does best – making Suffolk
an incredible place in which to live and work.
CAS supports organisations in the sector to enable them to operate more

JOB DESCRIPTION

JOB TITLE: Brightspace Buildings Supervisor SALARY:  £30,681 FTE

                  £12,272.40 Actual

HOURS: 15hpw – 5 hours per day spread
over 3 days

TERM:  Permanent

REPORTS TO: Chief Operating Officer

LOCATION: Brightspace, Ipswich

JOB PURPOSE

Oversee the daily operations, maintenance, and safety of the Kirkley Centres building facilities and ensure
the centre is operational and welcoming to tenants and users
Supervise and coordinate the building centre staff and external contractors
Monitor facility usage and manage scheduling for events and activities within the building
Ensure compliance with health & safety conducting regular inspections and risk assessments as assigned
by the Chief Operating Officer (COO)
To be an ambassador for CAS, supporting and promoting CAS’s diverse range of products and services
To be a positive and flexible member of a high performing, innovative and enterprising CAS team

MAIN DUTIES AND RESPONSIBILITIES

Oversee the daily operations, maintenance, and safety of the Brightspace building facilities and ensure
the centre is operational and welcoming to tenants and users

Take responsibility for maintenance and upkeep of the building, fixtures, fittings and furniture in conjunction
with external contractors where applicable
Work with the COO to plan and manage maintenance and improvement of the spaces and the annual
maintenance program
Source and order building and maintenance supplies and equipment as needed
Coordinate approved repairs and upgrades in collaboration with contractors and maintenance teams
Manage the day-to-day building and maintenance budget to cover small essential purchases
Assist in updating or developing relevant building operational policies/procedures and ensure they are
effectively implemented
Ensure that new users, tenants and staff are familiar with the safety and operational aspects of the
Brightspace, undertaking or overseeing inductions where required
Act as a key holder for the Brightspace

Supervise and coordinate the building centre staff and external contractors

Work with the Brightspace staff to ensure the building, its facilities and rooms are ready and appropriate for
use
Provide building guidance and support to team members by conducting regular briefings or training to
ensure ongoing development and compliance with procedures
Ensure friendly and professional customer service to, and regular and effective communication with,
Brightspace staff, users and tenants at all times

Oversee the staffing levels to ensure appropriate cover is provided for the safe and secure opening/ closing
of the building
Manage contractor activities on-site, ensuring quality and safety standards are upheld and works
undertaken within budget
In consultation with the COO, ensure that all appropriate services contracts are procured, supervised and
delivered, and that delivery is effective, safe and compliant

Monitor facility usage and manage scheduling for events and activities within the building

Assist in the preparation and management of the building maintenance budget
Play a key role in marketing the Brightspace room hire and office units in conjunction with the Marketing and
Communications Manager
Oversee the letting and management of office space and ensure that the tenants operate within the terms of
their agreements
Track expenditure, energy usage and report on cost efficiency and resource allocation
To monitor and approve expenditure under appropriate budget headings as may be delegated by the COO,
to be reviewed annually
Be responsible for checking contractor’s schedules of work, method statements, risk assessments and
health and safety policies
Ensuring that written quotations for work are secured according to CAS Financial policy and regulations
Support the COO in the implementation of the organisation’s environmental policy and strategy in relation to
Brightspace

Ensure compliance with health & safety, conducting regular inspections and risk assessments as
assigned by the Chief Operating Officer (COO)

Actively participate in the management, administration and implementation of the building's health and
safety policies and procedures
In consultation with the COO, ensure that relevant risk assessments related to Brightspace are regularly
reviewed and updated, taking account of changes in legislation and best practice
Coordinate with external inspectors and maintain records of safety inspections and compliance audits
Monitor and manage building access systems, alarms, emergency lighting, and evacuation procedures
Maintain oversight of all incident and accident reports. Report to the COO on any incident and accident
trends or learning
Act as a Fire Warden, with responsibility for the correct operation of the Emergency Evacuation plan and
Fire Safety procedures. Manage regular fire alarm tests
Act as a First Aider, manage First Aid supplies

To be an ambassador for CAS supporting and promoting CAS’s diverse range of products and services

To develop and maintain an expert working knowledge about the diverse range of CAS’s products and
services and seek to raise awareness and promote these wherever possible
To be a first point of contact to share knowledge about who to turn to for support in CAS
To work with the wider CAS team to raise awareness of CAS’s services and activities so they can promote
our diverse range of projects to their stakeholder groups
To actively promote the benefits of CAS Network

Selection Process
Shortlisted candidates will be contacted and offered an interview date and time. Candidates will be
notified of the method of interview. If the interview is face to face you will be notified of the location
the interviews will be held and provided with directions. All interviews will be confirmed via email
