About Us

Rowans Hospice is a charity that provides free care and support to adults and their families living in the Portsmouth and South-East Hampshire region who have a life-limiting illness. Established in 1994, our income is generated by ongoing support of the local community, donations, legacies, fundraising and through our retail shops.

The Role

The Meerkat Support Service will handle administrative tasks and act as a point of contact for our Meerkat Service. The role sits within our Family Services Department which consists of Lead Psychologists, Meerkat Lead and the Spiritual Support Lead as well as counsellors, case workers and a Bereavement Services Administrator.

The role will provide efficient and compassionate administrative support to the Children’s Bereavement Service, ensuring smooth coordination of pre- and post-bereavement support for children, young people and their families. The postholder will act as the first point of contact for the service, maintaining a sensitive and professional approach at all times.

The role includes managing referrals, coordinating appointments and support groups, maintaining accurate records and liaising with internal and external stakeholders to ensure families receive timely and effective support.

Key Responsibilities

  • Manage referrals into the service, ensuring timely processing, accurate data entry and communication with families and referrers
  • Maintain up-to-date records using electronic patient record systems and databases in line with confidentiality, GDPR and safeguarding requirements
  • Provide administrative support for clinical staff, including typing correspondence, preparing reports and distributing resources
  • Oversee and manage the Meerkat email account, responding to emails as appropriate, making the clinicians aware of emails that require their attention and ensuring the inbox is suitably organised
  • Attend the Meerkat weekly referrals’ meeting and ensure the referrals’ table is updated with new referrals/enquiries and other agreed relevant detail

The ideal candidate will have:

  • Experience in an administrative role, preferably within a healthcare, social care, or educational setting
  • Excellent communication and interpersonal skills
  • Ability to engage compassionately with families experiencing bereavement
  • Organised and able to prioritise workload and manage competing demands
  • Ability to work independently and use own initiative
  • Proficiency in MS Office applications and electronic record-keeping systems
