Position: Assistant (Conferencing & Events - Trent Conference Centre)
Hours: 22.50 hours per week (0.60 FTE)
Contract: Permanent
Salary: £24,660 per annum, pro rata (£1,233 gross income per month)
Role Summary:
The Assistant (Conferencing & Events) plays a vital support role to ensure the smooth and efficient running of events and conferences organised by Trent Conference Centre. This is a customer facing role which therefore requires the highest levels of customer service at all times. You will play a key, customer facing role as part of a dynamic and exciting team.
Main Responsibilities:
Role Specifics:
- Be an ambassador for Trent Conference Centre and always strive to deliver excellent customer care
- Foster positive and professional relationships with existing and new customers.
- Support in the smooth and efficient delivery of events, maintaining high standards of service and professionalism throughout, including:
- Setting up rooms for events
- Meeting and greeting guests on arrival
- Preparing and serving refreshments to delegates
- Overseeing lunch service
- Setting down rooms following events
- Oversee the sessional staff team on the day, leading a daily briefing and assigning tasks
- Act as a key holder, unlocking and locking the building as required.
- Be aware of the health & safety of delegates, visitors and staff members. Ensure a safe and clean working area and that working practices are maintained, whilst highlighting any specific issues raised to your Supervisor.
- Take responsibility for additional projects as required, ensuring objectives and timelines are achieved.
- Support in the fire evacuation procedure as required, assisting in the evacuation of delegates.
- Take part in the training and development of sessional staff.
- Communicate event information to team members regarding upcoming events
- Take part in the training and development of sessional staff.
- Undertake tasks and projects as required within the wider trading team
- Take on new areas of responsibility and relinquish others as the staff team develops and responsibilities change as agreed with your line manager
Other Requirements:
Meetings/Groups:
- Be an active part of the core Trading team
- Attend and take part in Monday Staff Meeting
- Attend and take part in daily morning briefings
- Attend any Trading / Conferencing specific team meetings and training
Administration:
- Deputising for and supporting other team members as required

- Complete all training as required
- Meet for regular one-to-ones with your line manager
- Complete a performance review with your line manager (as required)

Skills
• Have knowledge and understanding of daily operations of Trent Vineyard and Trent Conference Centre
• Enthusiastic, welcoming, hospitable and friendly to people of all background
• Confident and self-motivated, able to make clear decisions and work effectively without supervision
• Excellent communication skills through a range of different methods with a wide range of people i.e. external suppliers, other staff teams, sessional staff
• Attention to detail, well organised, with efficient administration skills
• A confident ‘multi-tasker’ who is calm under pressure, capable of handling a number of queries at once
• Experience of working in a similar administration role
• Flexible, co-operative, motivated and supportive team player
• Professional and empathetic, when communicating with customers and suppliers
• Computer literate and proficient in using Microsoft Office softwareBehaviours

• Teachable; willing to learn, happy to be taught
