Animals Asia Foundation is seeking a professional for the newly created role of Human Resources and Administrative Officer.

The organisation is experiencing rapid growth in its animal welfare programs and supporter base. The successful candidate will play a pivotal role in ensuring the preservation and promotion of the foundation’s long-practiced internal culture of kindness through its core values of empathy, courage, respect and tenacity.

Job Responsibilities

HR Operations

  • Prepare monthly payroll for designated locations, ensuring accuracy and timelines.
  • Coordinate the full recruitment cycle: post job advertisements, schedule interviews, communicate with candidates and support hiring managers.
  • Manage new hire onboarding: prepare welcome materials, coordinate orientation schedules, and ensure a positive first-day experience.
  • Maintain and update the HRIS, including employee records, org-charts and leave balances.
  • Process employee lifecycle changes, including promotions, transfers, and offboardings.
  • Support the salary benchmarking and performance review process.
  • Assist with the preparation of HR reports and data analysis (e.g. headcount, turnover).
  • Contribute to the continuous improvement of HR and administrative processes.

Office Administration

  • Manage office vendor contracts and relationships (e.g. insurance renewals), including initial price negotiations.
  • Organise company events and activities.
  • Assist with office renovation or relocation projects as needed.

Employee Engagement & Support

  • Act as a first point of contact for general employee queries regarding HR policies.
  • Support well-being initiatives and employee engagement surveys.
  • Prepare and distribute internal communications related to admin and HR updates.

Compliance & Record Keeping

  • Ensure accurate and confidential maintenance of all HR and Admin files.
  • Assist in formulating and implementing HR and Admin policies, employee benefits, and related internal guidelines to enhance employee engagement and operational efficiency.
  • Perform other duties as assigned by the HRM and Global HR Compliances Coordinator.

Qualifications

Experience

  • Minimum of 4 years’ relevant and solid experience in the full spectrum of HR & Administration operations.
  • Proven experience in office management and vendor coordination, negotiations.

Skills / Abilities

  • Strong interpersonal, communication, coordination and customer service skills for effective interaction with cross-functional teams.
  • High level of integrity and ability to handle confidential information with discretion.
  • Strong attention to detail and good organisational skills.
  • Ability to multitask, prioritize a complex workload, and work independently.
  • Proactive problem solving skills and a positive, can-do attitude.

Knowledge

  • Proficiency in MS Office and Google Doc.
  • Working knowledge of HR functions (payroll, recruitment, onboarding) and best practices.
  • Experience with HRIS.

Education

  • A Bachelor’s degree or equivalent, preferably in Human Resources Management, Psychology, Business Administration, or related field.

Languages

  • Good command of both spoken and written English.
  • Proficiency in local languages.
