The College of Medicine and Health are looking to appoint a full-time, permanent Senior Clerical Officer (Academic Support Research, Ethics) to join the College Administrative Team.

Duties will include providing efficient administrative support to the College and School Research teams with the organisation and day to day operation of administrative processes and procedures for Research and Impact. The postholder will also assume the role of Ethics Administrator for the College.

Candidates should be educated to an AS/A A Level standard or NVQ level 3 (or equivalent) in a relevant subject area or possess relevant administrative experience. The successful candidate will have previous experience of working within a busy office/administrative environment and be proficient in the use of Microsoft Office applications. Applicants should be able to demonstrate excellent organisational skills and ability to handle a varied and demanding workload.

The ability to communicate in Welsh is desirable for this post.

Overview

Bangor University, established in 1884, has a continuing tradition of academic excellent, both in terms of its teaching and its research. The College of Medicine and Health consists of three Schools:

This Administrative role is an exciting opportunity for an experience administrator to work closely with the College Research team to create and improve the College’s research administrative functions and processes.

Purpose of the Job
  • To provide administrative support to a range of activities associated with the research and impact function within the College of Medicine and Health.
  • The post holder will work closely with the College Deans of Research, College Director of Research Postgraduate Studies, School Directors of Research and Impact, Ethics Chairs, and other key role holders within the College and its constituent Schools.
  • The post holder will also work with colleagues within Professional Services, e.g. Integrated Research &; Impact Support Team (IRIS), to support a range of research and impact related activities.

Main Duties and Responsibilities
  • Provide effective administrative support to College Deans of Research, School Directors of Research and Impact and other key role holders.
  • Assist with the organisation and day-to-day operation of the administrative research related processes and procedures for the College and Schools.
  • Communicate effectively with both staff and students and maintain effective working relationships with colleagues within the University, and external bodies.
  • Provide administrative support to College-level and School level meetings, organising meetings, drafting agendas, preparing papers, taking minutes and circulating as appropriate.
  • Working with the stakeholders to create an annual academic calendar for the College.
  • Support the Ethics Committees by administering the ethics application process, ensuring timely responses and providing overall administrative support to the Ethics Committees.
  • Providing administrative support for the internal Annual Review process.
  • Provide administrative support to the Patient Participation Panel.
  • Assist with organising events, conferences and workshops including booking venues, refreshments, organising communication and other associated tasks as required.
  • Liaising with guest lecturers and visiting researchers for the College and Schools.
  • Liaise with Professional Services to ensure awareness of correct procedures and processes and advise staff as necessary.
  • Develop and maintain systems and ensure files and data required by staff members and other stakeholders are available when required.
  • Assist in the process of gathering information for returns and reports.
  • Support and contribute to the administrative governance of the College by supporting regulatory and compliance activities. Ensuring the confidentiality and safety of personal data in line with GDPR requirements. Always operating with a high level of confidentiality and discretion.
  • General office management duties and dealing with enquires.
  • To work across functional team boundaries as part of a larger College Administrative Team to ensure that core support services are maintained, particularly during holidays, absences and at peak times of activity.

Qualifications/Training

Essential

• Educated to AS/A level or NVQ level 3 (or equivalent) in a relevant subject area or possess equivalent administrative experience.

  • NVQ level 4 in a relevant subject area

Experience/Knowledge

  • Experience of working within a busy office /administrative environment in an administrative role.
  • Experience of implementing and maintaining administrative systems and procedures.
  • Proficient in the use of Microsoft Office applications and other relevant software.
  • Extensive experience of organising meetings and minute taking.
  • Experience of event organisation.

Desirable

  • Experience of working within an academic environment.
  • Experience of taking responsibility and making decisions at the appropriate level, coupled with the judgment to determine when consultation with others is required before a final decision can be made.
  • Understanding of an academic and research environment in Higher Education.
