About the role
The Business Operations team plays a vital role in making sure Macmillan’s essential services reach the people who need them, delivered with care and to the highest standard.
The Operational Support Officer is an exciting and varied role, working within defined operational workflows that span across multiple business areas within the organisation.
Each workflow within the team covers different responsibilities and so it’s important to know that you may not be working across all the responsibilities listed in our role profile, but those within your defined area. For this vacancy we are recruiting for the Operational Engagement Team.
We are a collaborative and supportive team, working virtually to ensure tasks are completed in line with Service Level Agreements, working together to succeed as a team.
Each day is different with incoming work and requests received through various channels, so the candidate we are looking for needs to be able to adapt and work flexibly to deliver priorities.
As a team, we are responsible for:
- Customer and Volunteer Support: Processing all volunteer applications for Macmillan buddies and Team Macmillan Volunteers. Working closely with the volunteering teams to deliver a smooth and efficient customer journey.
- Delivering an excellent customer experience: Be the first point of contact for inbox management, tailoring communication to answer queries and signpost where needed in line with our Service Level Agreements.
- Data & Compliance: Accurately processing volunteer/Macmillan professionals’ expense payments. Ensure data accuracy, resolve inconsistencies, and uphold data protection, financial, legal, and audit standards.
- Contributing to broader Macmillan’s strategic objectives and Business operation plans.
A typical week in this role might include:
- Approving orders and identifying and resolving system access issues for Macmillan Orders
- Processing volunteer applications ensuring a clear and seamless experience
- Processing professional expenses for reimbursement in line with policies
- Reviewing and actioning incoming queries regarding volunteer recruitment
- Managing password re-sets for Macmillan volunteers
About youWe are looking for someone who has a foundation in the skills outlined below.
Unless specified, this does not have to be experience in a charity context – we are looking for someone with this experience and a willingness to learn about our organisation and deliver work in line with Macmillan’s values. - Microsoft Office skills with a solid knowledge of Microsoft Word packages
- Audit or quality checking skills and knowledge, with a keen eye for detail.
- Flexibility with the ability to plan your own workload and deliver work to set schedules with competing priorities.
- Understanding of Data Protection guidelines and knowledge of best practice in document storage and version control.
- Ability to work as a team, collaborating as required, building positive relationships with team members, colleagues across Macmillan, volunteers and external customers.
- Advanced customer service skills with an ability to communicate clearly with a range of different people via email and telephone
About hybrid working in this roleThe team are currently home-based and come together in person 1- 2 times per year. We are open to a conversation about hybrid working and location as the team work remotely. We have workspaces in the Glasgow and Shipley area and our Head Office in Central London.

Recruitment process
