Job Description School Receptionist / Administrator The School is committed to safeguarding and promoting the welfare of children and young people and expects all staff and volunteers to share this commitment. Post: Salary: School Receptionist / Administrator £19,500 per annum (actual salary) (£24,375 actual salary) based on 37.5 hours per week – salary to be adjusted depending on hours Contract: Term-time only (35 weeks) plus 5 INSET days. Reporting to: Executive Assistant Working closely with: Administrative Team, SLT, Boarding, Academic, Artistic, Health and Wellbeing, Admin teams Hours: Full-time/part-time hours considered. Term-time, Monday – Friday between the hours of 7.30am – 5.00pm (including a half an hour unpaid lunch break). Overtime may be available. : b o J f o e s o p r u P The School Receptionist / Administrator plays a key role in supporting the effective and efficient running of the school by providing high-quality administrative and reception services. This role serves as a central point of contact for all visitors, phone calls, and email enquiries, requiring a professional, well-presented, and approachable manner at all times. Working flexibly across a range of administrative functions, the post holder will contribute to the smooth daily operation of the school and the delivery of a high standard of service. As a valued member of the administrative team, the Receptionist / Administrator is expected to promote and embody the school’s ethos – The Elmhurst Way. Duties: 1. Welcoming and registering visitors to the school on the electronic system, following Safeguarding procedures. 2. Operating the school telephone switchboard. 3. Responding to telephone/email enquiries from parents and the public. 4. Being a key point of contact for staff and students within the school. 5. Receiving parcels and deliveries; franking outgoing post and arranging special deliveries when necessary. 6. Using Microsoft packages, particularly Word and Excel, to help support the school’s administrative team. 7. Assist with all administrative duties such as photocopying, filing, etc. 8. Assist in locating students when reported “missing” from class in line with formal procedure. 9. To order stationary and other key school supplies. 10. To understand safeguarding, data protection and confidentiality. 11. To distribute the school’s weekly briefings to staff and parents. 12. To use SIMS on a daily basis for school administration. 13. To administer the distribution and collection of upper school and staff locker keys. 14. Assist with box office administration for school performances. 15. Assist with school events such as parent/teacher consultations and school performances. 16. To carry out any such tasks as shall be deemed necessary to the smooth running of the school. General 1.
