Finance Assistant Job Description & Person Specification

Job Purpose
To  assist  and  support  the  Finance  Officer  to  carry  out  a  range  of  practical  accounting  tasks,  working
towards  the  collation,  checking  and  analysis  of  financial  information  that  can  then  be  utilised  by  senior
staff, trustees and accountants.

Reports to / Line Manager – CEO/Finance Officer
Department – Finance
Hours per week – 16
Venus Grade 4

Role & Responsibilities and Core Competencies

Assist and support the Finance Officer in the following areas:

Strategic Planning and Evaluation

•  Keep team members informed of financial progress, changes, deadlines and other information as

required through agreed internal communication processes.

•  Ensure that your work is carried out within Venus mission, aims, objectives, policies and

procedures.

•  Ensure that good practice is adhered to, monitored and further developed.

Monitoring and Compliance

Liaise with management team, colleagues, commissioning bodies and trustees.

•  Administer payroll for Venus and other partner organisations as required.
•
•  Arrange payments of/raising invoices and reconciliation.
•  Undertake financial administration.
•  Monitor financial transactions.
•  Bookkeeping.
•  Prepare accounts, reports, budgets and financial statements.
•  Ensure compliance with taxation legislation.
•  Advise on and control income and expenditure budgets.
•  Ensure compliance with financial database vendor license agreement.
•  Perform daily administrative duties i.e. handling telephone calls, responding to emails,

communicating with suppliers and managing records etc.

•  Ensure that finance systems run efficiently and regularly review them against SMART and LEAN

principles.

•  Ensure data is adequately and regularly backed up and archived.
•  Ensure that all data is secure from unauthorised access.
•  Ensure that data is stored in accordance with Data Protection Regulations.
•  Keep up to date on all personal financial qualifications

Relationships and Engagement

•  Ensure that your work is carried out within Venus mission, aims, objectives, policies and

procedures.

•  Work alongside and in partnership with other statutory, voluntary & community organisations.
•  Work as part of a team and attend team meetings, team days and activities.
•  Participate in supervision, appraisal and training on a planned basis.

Person Specification

Essential:

•  Experience in the use of Excel and Quickbooks
•  A bookkeeping related qualification
•  Experience of computerised accounting packages
•  Good IT skills, including Microsoft Office software, particularly in the use of spreadsheets.
•  Organisational skills with a thorough, methodical approach.
•  Attention to detail.
•  Clear interpersonal and communication skills, both written and verbal.
•  Mathematical and problem-solving skills.
•  Self-motivated and competent with managing own workload.
•  Ability to work on own and as part of a team.

•  Ability to maintain high professional standards in adherence to Venus policies, procedures and

objectives.

•  Ability and understanding of highest standards of confidentiality at all times.

Desirable:

•  Previous experience in charity finances and accounts
