Training and Qualifications Administrator Peeple is a charity based in Oxford committed to promoting the importance of the early years and the role of parents in their child’s learning. Our purpose is to support parents and children to learn together through everyday activities at home. We work directly with families in Oxfordshire and train practitioners from around the UK to deliver our programmes. Purpose of the role The main focus of this post is the day to day organisation of training courses for practitioners, and the administration of accreditation both for practitioner training and for Peep Progression Pathway parents/carers, as part of the Training and Accreditation Team. The role requires a flexible and positive approach, and a willingness to learn new skills and adapt to the needs of the organisation. We are seeking an individual who is highly organised and capable of managing multiple tasks efficiently. You should be proactive, using your initiative to anticipate the fluctuating workload, and be detail-oriented to ensure accuracy in all tasks. You should have a friendly, approachable nature and enjoy working at all levels, possess excellent communication skills, and be diplomatic. Reports to: National Training and Accreditation Manager Accountabilities • Ensure the smooth delivery of a range of training courses for practitioners delivered across the UK and Ireland • Process invoices, chase outstanding payments and produce reports • Provide administrative support to the Training Administration team Key Performance Areas 1. Administration of training and accreditation 1.1. 1.2. Carry out the administration of a range of training courses for practitioners delivered across the UK and Ireland, including making practical arrangements with course organisers, venues and trainers. Respond, as the first point of contact for enquiries from existing and new customers. Refer more complex queries on to other team members, as appropriate. Book accommodation and manage logistics for trainers. Input training and accreditation information onto various record keeping systems including the training database and spreadsheets. Process orders from customers for Peeple publications and other learning resources which support the programme and ensure they are packed and dispatched promptly. Organise printing and ordering of resources including seeking copyright permissions where required. 2. Invoicing and Financial Administration 2.1. 2.2. 2.3. Generate and process invoices related to practitioner and parent accreditation working closely with the Finance Manager. Generate and process invoices related to the delivery of training and trainer invoices Issue invoices to delegates, chase outstanding payments and process purchase invoices 3. General Administration 3.1. 3.2. 3.3. 3.4. Input training and accreditation information onto various record keeping systems including the training database and spreadsheets. Support with the smooth running of the Arlo training platform, propose system improvements to enhance operational efficiency. Set up and implement administrative systems for new projects or new areas of work as required including both local and national programme delivery Take responsibility for general office administration in one or more areas, for example, health and safety, intellectual property rights, facilities. 3.5. Work flexibly with other administrative staff in Peeple and support the general administration needs of the organisation. 3.6. Implement all Peeple policies including health and safety, equal opportunities, confidentiality and data protection. 3.7. Undertake other duties as required consistent with the skills and experience required by this post. Summary of main terms and conditions of employment 1. Hours: Part time 24-28 hours per week 2. Salary: £25,055-£26,155 (full time equivalent) p/a 3. Contract: FTC 12 Months Maternity Cover 4. Location: the post is office based at The Peeple Centre, Littlemore, OX4 with the option to work from home occasionally 5. Please note: this role requires a degree of physical ability, as the role involves carrying the packaged resources to and from the post office. 6.
