Job Title:

Communications and Marketing Administrator

Responsible to:

Take responsibility for promoting St Cedd’s School as a leading preparatory school via internal
and external school publications e.g. weekly Bulletin, termly newsletters, programmes for
school productions and the website.
IT literate with working knowledge of Excel, Microsoft Word, Publisher, InDesign, Photoshop
and the use of social media.
Source content, design, (book/liaise with printers where necessary) and distribute the following
internal publications:

  Bulletin (weekly)
  Calendar (termly)
  Newsletter to parents of registered pupils (termly)
  Young Journalist pupil newspaper (annually)
  Programmes (ad hoc)

•  Design and update Information Booklets and flyers for Registrations Packs, in consultation with

the Head and Admissions Registrar.

•  Maintain the website ensuring that the information displayed is updated regularly in

consultation with the Head:



load documents and notices to the relevant sections of the website, including
updating of the Information Line on a daily basis.

  maintain a secure password access system for parents to view photographs and

internal mailings.

  develop the website in consultation with the Head. Liaise with web developers and

oversee project.

Take and co-ordinate school photographs (including school ID badges), and manage the annual
formal school photographs/filming liaising with the external photographers/videographers;
including sharing pupil data beforehand (on request for barcodes), assisting the photographer
on the day, sharing order details with parents afterwards and distributing links/orders delivered
back to school.
Check pupil photo permissions for events/publications/marketing photography and filming
using reports created in Engage, seeking parents’ consent if/when required.

Source and share photographs with Year 6 parents compiling Leavers’ Yearbook, on request,
and communicate details with Year 6 parents – and Year 1 parents (Reading Partners).

•  Maintain an efficient filing system specifically related to the role.
•  Upload job adverts and supporting documents to school website and other external sites (if

required), on request from the Head.
Edit/approve social media posts submitted by staff via Hootsuite, ensuring posts comply with
School’s Social Media Style Guide and permissions on file.
Administrative duties connected to role such as:

  recording Good Work Book awards and compiling list for Head on a weekly basis;

  Adding data from each new starter’s T&Cs/Permissions Form, supplied by

Inputting data from each pupils’ Permissions Form to Engage;

Admissions Registrar;

  Updating boards – Pupil Responsibilities by School Hall, Staff and Heads of School

photo boards in Front Office.

•  Order Christmas Cards in liaison with the Head.
•  Update and order Headed Paper and Compliment Slips (and update logos on website footer) in

liaison with the Head.

•  Order signs and branded items (e.g. gazebos/vehicle branding), on request.
•

Assist with Front Office duties such as:

  answering calls, passing on messages and dealing with queries;
  welcoming parents and visitors to the Front Office and directing them appropriately;
  typing letters, proofreading, producing labels, printing and collating reports;
  Support the front office administrator with Engage messages.

Marketing

•  Take responsibility for promoting St Cedd’s School as a leading preparatory school via external

publications and advertisements, making recommendations to the Head regarding new
marketing opportunities.

•  Update Marketing Log spreadsheet with all booking details (adverts/events/extras) and

complete Order Forms for Bursary, signed by Head.

•  Design advertisements and marketing collateral such as leaflets, banners etc.
•  Submit adverts and editorial to publications and approve proofs, seeking Head’s approval.
•  Review online profiles and update when required, in liaison with the Head.
•  Arrange for the school to be represented at external events, in liaison with the Head and

Admissions Registrar, and prepare items required/liaise with staff involved/organise drop-off of
equipment/banners/leaflets etc. Set up and attend external events, where required.

•  Attend Open Mornings to assist Admissions Registrar and provide support on tour of the School.
•
Lead the development of the Old St Ceddians’ Association in consultation with the SLT.
•  Manage alumni database, inputting data from new members’ Contact Forms to spreadsheet,

and updating mailing lists.

•  Share news/updates with alumni members in consultation with the Head.
•  Review and update the design and contents of the prospectus in consultation with the Head and

Admissions Registrar. Liaise with prospectus designers and oversee project.

•  Review and update New Parent and Declined Parent surveys and provide responses when

requested by the Head, in consultation with the Admissions Registrar.

•  Write press releases and, in liaison with the Head and after seeking parents’ permission, publish

to website (Feature News) and share with external publications.

General Duties

•  Ensure the smooth running of the Front Office, keeping it tidy, and maintaining an ambience

of quiet professionalism and warm welcome.

•  Observe the letter and spirit of all the school policies, with particular regard to Health and

Safety and Child Protection policy.

•  Adhere to the content of the policies in all aspects of day-to-day duties relating to staff,

pupils, members of the public and other agencies.

•  Contribute to good staff relationships and attend Admin meetings.
•  When necessary, such as during a period of a colleague’s absence or holidays, provide back-

up service to the Front Office.

•  Provide a Front Office service during school holiday periods as per the rota drawn up by the

Admin staff and in light of individual employment contracts.

•  Undertake any other reasonable duties, as and when required by the Head.
