Mind in Croydon is looking for a proactive, organised and compassionate individual to join
our team as the Counselling Service Administrator. This role is ideal for someone who enjoys
working  with  people,  can  manage  a  variety  of  tasks  with  confidence,  and  is  motivated  by
supporting services that make a real difference to the community. Given the sensitive and
confidential  nature  of  this  role,  candidates  should  have  some  working  knowledge  of
counselling  service  delivery  and  ethical  practice,  as  well  as  experience  supporting  or
communicating with individuals who may be experiencing mental health difficulties

ORGANISATION SUMMARY AND OBJECTIVES OF THE POST

Mind in Croydon (MiC) is a mental health charity founded in 1967 to promote good mental
health. Our vision is a world where everyone with mental health issues receives support and
respect,  and  where  inequality  and  stigma  are  eliminated.  We  are  a  voluntary  sector
organisation, a company limited by guarantee and a registered charity, with over 50 members
of staff working across 2 offices and outreach locations in the London borough of Croydon.
While we maintain strong links with National Mind and other local Minds within the Mind
Federation, we are completely independent in how we govern ourselves, run our campaigns
and how we raise and manage our funding.

We provide a wide range of services to support, inform and empower anyone experiencing a
mental health problem. These include independent mental health advocacy; carers support;
counselling;  welfare  benefits  advice,  form  completion  and  representation;  peer  support;
information and advice; physical activities; group activities and crisis support. Through these
services, we promote greater understanding of mental health and foster positive attitudes
within  Croydon  and  beyond.  Over  the  past  year,  Mind  in  Croydon  supported  over  15,000
individuals, an increase of over 50%, compared to the previous year.

We  are  deeply  grateful  to  all  the  volunteers,  partners  and  stakeholders  in  Croydon  who
support our charity. Their commitment has made it possible to meet the growing demand for
our services.

CONTEXT OF THE POST
___________________________________________________________________________

Our Counselling Service delivers high-quality, one-to-one counselling to adults aged 18 and
over who are experiencing a wide range of mental health challenges. Accredited by the British
Association  for  Counselling  and  Psychotherapy  (BACP),  the  service  operates  within  strict
ethical and professional standards, ensuring that every client receives safe, confidential and
person-centred support.
Over  the  past  year,  our  service  delivered  1,843  counselling  sessions  and  supported  458
individuals through one-to-one counselling and therapeutic groups. Client outcomes remain
consistently strong, with 100% of respondents likely to recommend the service, 94% reporting
improved ability to cope, 86% feeling less isolated, and 98% noting an overall improvement
in their health and wellbeing.
To  improve  accessibility,  we  have  introduced  online  and  email  referral  options,  as  well  as
sessions, enabling clients to submit requests easily and receive immediate confirmation and

support.  We  also  provide  a  dedicated  Carers  Counselling  programme,  offering  six  free
counselling  sessions  and  monthly  psycho-educational  workshops.  Last  year,  241  carers
received  support,  including  158  through  one-to-one  counselling  and  46  who  attended  11
group workshops.

Our service relies on a skilled team of staff and volunteer counsellors, who together create
more  than  4,000  counselling  hours  each  year.  In  addition  to  individual  therapy,  we  offer
counsellor-led psycho-educational groups, supporting up to eight participants at a time on
topics such as anxiety and anger management. Carers and clients help shape these groups by
telling us what they need most.

The Counselling Service Administrator plays a key role in ensuring this service runs smoothly,
from  coordinating  referrals  and  supporting  clients  with  their  enquiries,  to  assisting
counsellors  and  maintaining  accurate  records.  Your  contribution  will  help  us  continue
delivering a trusted, accessible, and life-changing service for our community.

PURPOSE OF THE ROLE

We are looking for a proactive and organised administrator to support the smooth day-to-
day running of our busy and growing Counselling Service. Working closely with the
Counselling Service Manager and wider team, this role ensures that all administrative
systems run efficiently and that clients, counsellors, and volunteers receive a high standard
of support

KEY TASKS

Client and Service Administration

  Welcome clients to the premises and respond to queries via email, telephone, and in

person in a timely and professional manner.

  Maintain effective administrative systems, including the office calendar, attendance

records, client waiting list, and online session appointments.

  Support the coordination of assessment interviews with volunteer counsellors.
  Manage new referrals: register enquiries, track assessments, and update any

changes to schedules.

  Process returned registration questionnaires and send out client information packs.

  Allocate new clients promptly and ensure counsellors receive client messages or

updates efficiently.

  Take cash/card payments, issue receipts, and manage payment links and tracking.
  Support volunteer counsellors and staff with daily administrative tasks.
  Work closely with other Counselling Service Administrators to ensure a smooth

transition between day and evening services.

  Help maintain counselling rooms to a high standard in line with Health & Safety and

Clinical Governance guidelines.

  Keep counselling personnel records updated.
  Send service updates and distribute information leaflets to key stakeholders as and

when needed.

Database Management

  Maintain accurate records in the database system.
  Register all enquiries and referrals.
  Support the collection and entry of monitoring data and statistics.
  Work with the Counselling Service Manager to update and refine the database as

needed to meet funding and reporting requirements.

Teamwork and General Duties

  Work collaboratively as part of the Therapeutic Service team and take part in team

meetings.

  Attend regular supervision with your line manager to support development in the

role.

  Provide cover, whenever possible, for other administrators on leave
  Maintain professional boundaries with service users, volunteers, and colleagues at

all times.

  Follow all Mind in Croydon policies and procedures, including Confidentiality, Health

& Safety, and Equal Opportunities.

  Attend staff meetings as and when required.
  Carry out any additional tasks required to support the effective running of the

service.

Job Description Agreement
