The College of Optometrists is the professional body for optometry. It qualifies the profession and delivers the guidance and development to ensure optometrists provide the best possible care. We promote excellence through the College’s affixes, by building the evidence base for optometry, and raising awareness of the profession with the public, commissioners, and healthcare professionals.
We are looking for an IT Coordinator who will join our established and busy Finance, IT & Facilities team. The role is responsible for supporting the College’s IT infrastructure and Non-D365 related systems, including O365, SharePoint, asset management and staff training. They will ensure robust IT and data security, compliance, and governance across all systems including assisting with writing of and compliance with IT policies and procedures, the provision of training to college staff and the purchase of equipment for college use. The IT Coordinator will support and participate in technology-related working groups, to ensure IT provides a voice and also, collaborate with college staff and members to achieve successful outcomes for staff and the college.
Reporting to the Head of Data Systems, the role holder will be responsible for:
- liaising with external suppliers and College staff on all aspects of IT projects, in order to contribute to the successful delivery of these projects
- delivery of IT training sessions and training materials created internally and in partnership with external suppliers
- liaising with the outsourced IT provider
- reviewing the outstanding support tickets and escalating as required
- maintaining the College’s IT asset register and equipment
- assisting in the College’s starter and leaver process
- maintaining and inputting into all relevant IT policies & procedures to ensure security and minimise risk
- supporting the College’s IT infrastructure, including O365, SharePoint, asset management and staff training
Successful candidates would need to demonstrate the following experience, knowledge and skills:
Experience
- working with Microsoft 365 and SharePoint
- managing specialist external providers
- IT support, SharePoint administration and asset management
- build effective working relationships with stakeholders and work collaboratively across college teams
- training staff in use of standard software
Knowledge
- Microsoft Office 365 & SharePoint
- basic technical knowledge of O365 system structures
- MS Office and other specialist but widespread software packages (such as SharePoint) and the ability to help others
- the principles of information security and information governance
Qualifications
- degree level (or demonstrable equivalent experience)

- Typical working hours at the College are 9 am to 5 pm (7 hours, excluding lunch) working five days a week. We operate a flexible working window from 8 am to 6 pm where you can vary your start and end time (working a 7-hour day). This role is flexible and can be worked over a variety of working patterns.
- We also offer hybrid working (a mixture of home and office working). Typically, College staff will work around 20 - 40% of their time at the workplace with Wednesdays required on-site (whether this is the office at Craven St, or a face-to-face meeting, exam or event at another business-related site or organisation) per week.
