Project Administrator (PA & Health Walks)
Somerset Activity and Sports Partnership (SASP) is seeking an administrator to help with the very busy Proactive Somerset Physical Activity on Referral scheme and the Somerset Health Walks. You will work with both the manager and coordinator of the two projects and have the skills to talk with people interested in taking part in both projects as well as with our partners, volunteers and providers. You will be trained on each project, enabling you to both understand and to operate the day to day administrative side of each.

About Project Administrator (PA & Health Walks)
The Project Administrator will provide comprehensive administrative support for the ProActive Physical Activity on Referral scheme and Somerset Health Walks programme which support adults, often living with health conditions, to become more active to improve their wellbeing. The role will ensure smooth programme delivery, accurate record-keeping, effective communication with participants, walkers, volunteers, and partner organisations, and supports promotional and operational activities.Key Responsibilities - Health Walks
- Respond to enquiries via telephone and email, providing information and directing individuals to local health walks.
- Support the registration processes for new walkers and volunteer walk leaders.
- Update walking schedules using Canva and upload them to the website.
- Distribute promotional materials for walk leaders.
- Maintain and regularly audit walker and volunteer databases to ensure accuracy and completeness.
- Communicate effectively with volunteer walk leaders through email, phone, and in-person meetings.
- Attend occasional health walks, walk leader meetings, and Spark Somerset events to provide support and represent the programme.
- Undertake Walk Leader training to gain a strong understanding of programme delivery and enhance volunteer support.
Key Responsibilities - ProActive Physical Activity on Referral
- Monitor the ProActive email inbox and respond to enquiries.
- Answer incoming telephone calls relating to ProActive.
- Navigate the ProActive database to respond to enquiries and co-ordinate referrals (referrers, participants and ProActive providers).
- Provide cover for Public Health's Administration during periods of leave, including processing referral uploads.
- Distribute publicity materials and co-ordinate banner placements across the county.
- Undertake training to develop and improve understanding of the ProActive database.
Key Responsibilities - Volunteering
- Coordinate internal content for the volunteer newsletter three times a year.
- Develop and coordinate content for International Volunteers Day (December) and Volunteering Week (June).
- Manage volunteer recognition materials, including Christmas cards and length-of-service milestone cards.
- Maintain and update the volunteer database, conducting six-monthly stock takes in collaboration with staff.
- Update the volunteering handbook and related website pages to ensure information remains accurate and accessible.
